Hello Everybody,

 

Im kind of new to Qualtrics and tried to find a solution to my current problem. I found one but wanted to hear from experts if there is a more elegant solution to this. The problem is as follows:

I want to conduct feedback for several people. All of them will have to get feedback from 5 people. The workflow is the following: people who are eligible to undergo such feedback sessions have to choose the feedback givers. I just created a survey for this, where they can put the email addresses of those people in. The survey then sends out anonymous links for the actual feedback survey to those people. Because those are anonymous links, all the feedback will be saved in the survey. So before creating the individual reports (every person must only receive their own individual feedback), I have to create some kind of identification for each feedback. I think about adding a question into my feedback survey, where the recipients have to put in the mail address or name of the person they are giving their feedback for. Then I can simply filter by the mail address in the Report options. 

So this option is pretty unautomated, and the filtering by mail is prone to errors when someone misspells a mail address. Do you guys have a better idea? I thought about using embedded data. Or maybe some kind of password?

This can be easily done by connecting the survey to an id store in directory, where all the information about respondent and feedback givers.

thanks for the reply! Sorry, but I dont quite understand. Do you mean that I create such a id store for the initial survey, where the respondent puts in the feedback givers? And how can I use this for the following steps?

@Alexander.Reif Why don’t you simply upload your subjects and participants as a csv file containing all your appropriate meta data. Here you should have a unique ID that is generated from your HRIS system. Let Qualtrics do the work for you in managing the relationships and filters etc. Your participant upload then is stored in the directory.

Thanks for the reply! The problem is, that the process of those feedbacks will be over 2 months. Some teams will send the feedback survey to the participants in the first few days, but some will only start with the process after several weeks. Therefore I unfortunatley cant wait that long util everybody is able to submit the participants.. I already thought about this way, but I dont think its possible..


@Alexander.Reif Have you not considered creating one XLS/CSV for subjects (masterfile) and one XLS/CSV for evaluators (Master file); maintaining this as a cumulative file which you simply add new employees to as and when you received them. Upload each time into Qualtrics, Subjects file first, then evaluators file. You can distribute email invites to subjects by metadata (name/ID/ etc) and the same for evaluators, you can send evaluator emails based on subject metadata. This way every 360 stays in ONE project, far easier to manage. 


That would possible. But its even more effort than it is right now. Because in the moment I just have to send out one Mail to all the subjects and when the feddbackloop is closed I can just filter by person and download the report. By creating such a file I would have to keep uploading the XLS files. At the moment the highest workload occurs at the end of the process, when I have to manually filter by each subject and download the report..
