The User Engagement Report on the admin dashboard includes users with the prefix “External user:” in front of their name. Some of them show up when I search for individual users, and some don’t. But there are external users with recent logins, surveys, and even responses. I know that some of these are people who have left the organization, and some are still there, so I’m not sure how they got labeled as “External Users,” but the ones that really puzzle me are the ones that don’t show up when I search for them in the users tab.

A brief google search wasn’t helpful, so hopefully someone here can provide some answers.

External user prefix generally indicates that these users are not part of your organization's internal user database. Like you mentioned some of them are people who have left the organization.

Who don’t show up in the Users tab search are likely managed differently. They might not be part of the core user management system but rather are tracked through specific survey-related activities.

Given that this could be system-specific, reaching out to Qualtrics support might provide insights into why these discrepancies are occurring.
