Giving groups of users access to Dashboards | XM Community

Hey Guys!!

Has anyone figured out how to give dynamic groups of users Read access to dashboards without having to touch the permissions of each person individually? We thought about trying to set up our default Security Role to allow everyone to have “read” access to all dashboards (the caveat being they have to be invited to specific surveys of course). The other strange thing we discovered is that creating a User Role to “group” people together via metadata fields only gave you access to the participants who were invited to the survey, not access to everyone in your Global Directory.

Use Case:  A survey is going out to 12,000 people in a business unit and the requirement is anyone who is a Manager (has direct reports) or higher should have access to see the aggregated Dashboard results. These are people who are still participants but because of their role will be given Dashboard access. Out of the 12,000 we are talking like 2500 people. Another requirement is that all HR employees of the company have Read access as well (a bunch of them would NOT be participants in the Survey)

Any suggestions or help would be GREATLY appreciated!!

The way we set it up is we imported everyone from our global directory in our active workforce for our hourly worker survey. Even though we added all salary associates in a CSV File we attach all of those of were not participants to be “non-respondent”. So you can still add them to survey and they do not have to take it but they can still be assigned a role within that survey. So out of the 6000 workers that we have only 80 of them had access to the dashboard we created for them.

 

It is easier than to select the group of let's say the meta field “manager” who are also “salary” where it would pull the list of all those associates based on if they acquire these fields with their meta data. From here you can review that the list is correct and delete anyone that may not need it. Does this help? Not too sure if you tried the route of just importing everyone to the survey and making a group of them non-respondents. 


@ScottP  I’d set up a user role with the permissions required and then set up an automatic role assignment. How this works  will depend on what Metadata you have associated with these users, but should be something you can use.  Refer to CX Dashboards Roles (qualtrics.com) which has further details.
