How does Qualtrics handle automated email replies? | XM Community

Our email administrators have asked how Qualtrics handles automatic email replies to a Distribution. I couldn't find official information - hope community can help.

How does Qualtrics handle:

  1. When a recipient replies to the ‘reply-to’ email address?
  2. When the recipient mailbox auto-replies (e.g. out of office reply, or automatic response)?

Thanks so much,

@Eldon

As I understand, the email delivery fails if the email doesn’t exist.

If it does the email is received by the end recipient.

Thanks, @Deepak .

In this scenario, the email does exist. Is either the recipient has enabled an automatic response, or the mail server sends an automatic response.

@Eldon It works the same way as any other mail server. The mail server will send an automatic response if it is enabled by respondent.

Okay - so does this mean that the email responses from recipients will not be dealt with by Qualtrics, but by the mail server and whoever watches the mailboxes? If so, it makes sense to set up the following to receive responses:

  1. Send from address
  2. Reply-to email
  3. A general catch-all for email responses

Yes, you’re correct!
