Why does the exported excel file not contain responses from all participants | XM Community

Hi all, 

 

I’m new to Qualtrics, so apologies for basic queries. I have been trying to export the data of my survey to an excel sheet but the exported sheet does not contain responses from all participants. I can see a particular response on the survey platform but not in the excel. 

Could someone please guide why this is the case and how it can be resolved?

It's possible that there are filters applied that are restricting the data you're able to download. Could you please share some screenshots to help us better understand the situation?


Hi @Sachin Nandikol, thank you for the response. I have not applied any filters. The exported data file shows the participant number but the responses are not there (see a screenshot below). I have tried multiple times to also export the individual participant response as well as the entire sheet export but no success.

Hello @hajira,

There could be a few reasons why you're not seeing all the responses in your exported data file. Here are some possibilities:

  1. Download All Fields Option: If the option to "Download all fields" was unchecked during the export process, only the columns currently displayed on the Data tab will be exported. Make sure this option is checked to include all data fields in the export.

  2. Filters: If a filter was applied when exporting the data, only the filtered data will be exported. Make sure no filters are applied if you want to export all responses.

  3. Embedded Data Fields: If you're missing information that is stored in a contact list, you need to ensure that you added Embedded Data to your Survey Flow so that your survey knows to collect this information. This Embedded Data can be added retroactively if you forgot the first time.

 


1 and 2 are ok at my end. I have made sure the 1 is checked and there are no filters applied. I don’t really get what you mean by ‘Embedded data fields’.
