What is the first step to send a survey invitation?
Open the Survey project you wish to distribute and go to the Distributions tab.
How do I start composing an email invitation?
Go to the Emails section and click Compose Email.
Selecting Recipients
How do I choose who receives my survey invitation?
The first dropdown list lets you decide who this email is for. You can choose:
- A specific contact list
- A contact segment
What if I don't have a contact list yet?
You can create a new contact list by selecting Lists, then New Contact List, and filling out the contact information.
Customizing Email Settings
What email settings can I customize?
After selecting your recipients, you can modify:
- From Address
- From Name
- Reply-to Email
When can I schedule my email to be sent?
You can select:
- Now (send immediately)
- Another pre-set option
- A custom date and time
How do I customize the subject line?
You can either:
- Load a subject line from the library
- Type one directly into the text box
Composing the Email Message
What's included in the default email message?
You'll see pre-populated text that includes:
- The survey link
- An opt-out link
Typically, you will leave those unedited and include your custom message above this line.
How can I preview my email before sending?
Click Send Preview Email. This will prompt you to add an email address so you can see exactly what your recipients will see before you send it out.
Understanding Link Types
What are the different link types available?
Click Show Advanced Options on the bottom left-hand side to choose your link type:
- Individual links (default): Each participant receives a personalized link that can only be used once and tracks contact information.
- Multiple complete links: Can be used multiple times and tracks contact information.
- Anonymous links: Can be used multiple times but does NOT track any contact information.
What is Link Expiration?
Link Expiration allows you to choose when you want the link to stop displaying the survey after it's been clicked.
Sending and Follow-Up Emails
How do I send my email invitation?
Once you finalize your information and are ready to send, click Send Now. The email will be distributed to all the selected recipients.
How do I send a Thank You or Reminder email?
- Click the checkbox or arrow for Thank You or Reminder emails.
- Select which type you want to send.
- You'll be prompted with the same interface used to create the initial email.
- Compose your message and click Send.
