Automatic enrollment to directory roles

Hello!We have an automatic process that creates users with an API so we don’t have to create them manually. But on top of creating the users, we need to add them to a role so only some specific users can have access to a custom directory. We already have the rol and so far we ave done that role enrollment manually. Is it possible to do that process automatically? like automatically adding specific user types to the role? or maybe another step on the API.Thanks!

XM Directory Issues (400 Bad Request) Request Header Or Cookie Too Large

Hello Everyone,Wondering if others have encountered this error when trying to access their Directory? and if they have a solution to avoid it in the future (refreshing the page, even multiple time does not work).I mainly use Chrome to access Qualtrics It comes and goes for me (ex if i return to the directory in a few hours/next day), however can delay my efforts to pinpoint a client interaction and additional information required for followup. 400 Bad RequestRequest Header Or Cookie Too Large

How to add a new data field and data to an existing list

This is a simple task I’m sure but I haven’t been able to track down the method from the online documentation.I have created a list in the Directory with contact details and some other fields.  (I have since run a survey and populated the list with some of the survey responses) I now need to add an additional field, with (external) data from a spreadsheet, to the existing list (before doing another survey)What’s the best way of achieving this?Thanks in advance

How to upload "blanks"?

Good morning,I have a request related to uploading data to Directory.Premise, I have set Identity Resolution based on email.When a contact with the same email is uploaded, this thing happens:- "full" embedded data values overwrite the embedded data values of the contact already existing in Directory- "empty" embedded data values do not overwrite "full" embedded data valuesExample: if I have a field "wife" valued as "Daniela", I can load a row with the same mail, with the field "wife" valued as "Laura", updating it.The problem, however, is that by loading a row with the same email with the "wife" field not valorized, the field is not "emptied" but remains "Daniela". Same thing if the field is filled with a "space".Do you know if there is any coding that allows a blank to be overwritten to a value? (e.g. /space, /na...)? Best,Carlo

Add Contacts and Transactions to XMD Task

Hi everyone,I’m trying to send a survey using transactional data, but during testing, I’m only getting the embedded data, and the transactional data is coming up empty.Here’s the flow I’m following: I first bring in information using SFTP. Then, I load it using the "Add Contacts and Transactions to XMD" task. After they are loaded into the directory, if the contacts meet the criteria to enter one of the segments, I have another workflow that detects the change in segments, after this the workflow has a "Extract Contact Information from the Directory" task, and finally, an XM Directory task for distribution.Everything is working fine, except that the transactional data is not being displayed in the survey data, so I’m unable to use it. Can anyone help me troubleshoot and fix this workflow?Thank you!

I’m wanting to use Qualtrics to send out a short SMS simply to instruct the recipients to download our app - but I don’t need/want to attach a survey to it… is there a way to use Qualtrics in this way?

Email myself a list of contacts with incomplete surveys based on date

I need to set up a workflow as follows:contacts imported daily to distribute a survey → survey sent out to each contact via an individual link 30 days after each contact is imported → 14 days after this, a reminder email is sent for those with incomplete responses → 14 days after this, send a list of contacts with incomplete responses to a specific email (not an email within original contact import). So far I have set up the following within a workflow (in my XM Directory, not within the survey itself) to import the contacts daily, distribute the original email, and the reminder email (I have set the date so that it will not run yet): The data extract will eventually be made using WebService by Qualtrics, not Google Drive, if that is of any importance. The contact data (21 fields of important data; the number of fields is not final) is added to a contact list, with a number of necessary fields set as embedded data within the list. As of now, the XM Directory task uses an individual lin

Recurring Export Automation from Directory

Anyone know if there is a way to schedule an export of the directory every month? I want a csv export of all emails who have gotten a survey invite in the last 6 months, downloaded to a folder on my computer every month.

Create Segment of Contacts who have NOT Completed a Specific Survey?

Is it possible to configure a Segment to include people who have not completed a specific survey? It seems like using Segment would be more efficient and allow real-time updates instead of reviewing response data, distribution histories, etc. and comparing to an original list.  Specifically, I have a survey that has an authenticator tied to it. The authenticator checks a contact list of employees (~3000 contacts). The survey is available via anonymous link, where folks are then authenticated before responding. The survey was also emailed to the same contact list. When we tested the survey, we found that if someone already completed it via the link, they were not sent an email; however, now that we launched the project, people are reporting having completed the anonymous link but also receiving the email invite. For this reason, we are not leaning on the email reminders since there are people who completed the authenticated anonymous link but received email invites (Qualtrics isn’t reco

Segment will not build

I’m getting the error “An error occurred while building the segment”. Using Segment options>Rebuild does not work, neither does creating a new one from scratch. I was able to get a different segment to build, so not sure what the problem is for this one.Segment error messageList of segments with one successful and two unsuccessful

Workflow: export or map contact info that measures engagement, like "Last response"

In a workflow, we wish to export or map several contact data points from the Directory, specifically “Last invite received” and "Last response". We have found the Main Contact Data fields to choose from, but those 2 fields are not in the list and we can’t seem to find any way to access “Last invite received” and "Last response" within a Workflow.We have looked at all three types of workflows, but nowhere does it show these fields. Any suggestions?

Deleting Contacts & Anonymize Corresponding Responses

We have some requirement which we are currently challenging: A contact should be deleted completelyThe responses of the deleted contact should not be deleted but only anonymizedIf possible we would like to define which contact data should be anonymized on the response and which data should be kept (e.g. keep information about the contact's city, however, delete/anonymize everything else like contact ID or name)At the end we will need to implement this with the corresponding API calls. However, in order to check that requirement, I tried to test this up on the Qualtrics UI. Therefore, I created a new contact and sent a survey to this contact. I myself finished the survey then in order to have some response data for that contact. Next, I deleted the contact from the XM directory:The information said that "survey responses ... will not be deleted but the response will no longer be associated with the contact". However, after deleting this contact, I had a look at the responses again (via

Transaction data and Automations

Hi all, I have a setup issue involving transaction data, automations and “holding of contacts” and am a bit out of ideas how to solve it. So to give context the following setup: we have a survey that goes out to all customers who ordered a so called “sample” of a product to ensure that the survey only goes out once the sample is received we want to send out the survey 5 weeks after the transaction “ordered sample” has happened we are currently already creating transactions via the transaction API to store the product ID and product name of the specific interaction that a survey should refer to Main issue: It seems like there is no way to use transaction data in any automated mails and surveys? So even if we send out the survey through an automation now 5 weeks later, it will pull the recent embedded data into the invite mail and survey introduction and not the data in the transaction. Sending the surveys out via the normal “distribution” is simply not feasible due to the number of surv

OptOut link for opting out of entire directory?

Greetings all, so we use a Survey to "register" our participants. So the actual "survey results" are never looked at--the answers to the survey questions are injected into our iQ Directory as embedded data fields. We then filter on these embedded data fields to create samples to survey. So, we recently updated our registration survey and I am getting ready to email the people we currently have in our directory a "please update your registration information" type email which will be an invite to the new registration survey (which again will just inject embedded data into iQ Directory). The issue is that my OptOut link in the bottom of this email invite I'm sending has this code: ${l://OptOutLink?d=here}. If a person clicks this they are taken to the Qualtrics page which allows them to click a link to unsubscribe from that panel. There is a second link that allows them to be removed from ALL panels. When I tested this and clicked the first link, it does *not* opt me out in the Directory

Integrating Salesforce with Qualtrics

Hi team, I have few Questions while integrating Salesforce with Qualtrics. These are likewe are integrating salesforce with Qualtrics through outbound messages. here is the workflow I have implemented in Qualtricsin Salesforce outbound message I have Authorized my Sandbox to Qualtrics. The message (Call Event URL) URL I have used in Salesforce outbound message.in XM Directory I have Distributed individually a survey with following selected options   Question 1) in the above image I have created Implementation Survey (Contact List) once it is triggered where I can see the Contact data and the way I have created it is right or not?once the XM Directory trigger the Survey, I have to map the response back to the Salesforce so I have taken Salesforce Task to map the data,Question 2) To Map the data, I have unable to select the options (Questions response) what they are filled it in the Survey. Question 3) How to create Embedded data? and How to Assign values I’m triggering salesforce field

Updating contact list after completion of survey with anonymous link with Authenticator.

I have a survey using an anonymous link with an authenticator.  I want to be able to make a sample list from my contact list of all that have a response of 0, so I know who to continue to reach out to for completion. Is it possible to for the contact list to be updated with the finished status once someone completes the survey?  Thanks in advance. Alana

Anonymous surveys by default

Hi, How can we anonimize all our (new) surveys by default? We never want to measure IP addresses and don't want to set this for every new survey. It's a risk because it violates our privacy statement if we do measure it.

Merging directory contacts and their transactions the best way

I have some very specific requirement in regards to contact merge. First our setup: Our XM directory contains vehicle relations (combination of customer + vehicle). One customer may have multiple vehicles which means he also has multiple entries in the XM directory. We are using an external reference consisting of the customer ID and the vehicle ID as key. The customer ID and the vehicle ID is also stored separately as embedded data for each contact. Our requirement: We have some duplicate check in our CRM system. When a duplicate customer is identified, we also need to correct this in Qualtrics. In this case we have an old customer ID (to be archived/deleted) and a main customer ID (keep). We would need to identify all vehicle relations with the old customer ID in the Qualtrics directory. Then we would need to merge/copy the transactions of those contacts to the contact in the directory which has the main customer ID but same vehicle ID. It may also be that there is not yet a contact

How to use 'Transaction Date' in survey

Hi,I've set up an XM Directory Automation for importing contacts (= calls to our hotline) and distributing a transactional feedback survey.The date / time of the customer interaction (call to the hotline) gets imported into the XM Directory as "Transaction Date".I now would like to use the date of the transaction in the survey flow / survey text. For example: "Thanks for calling our service hotline on 23-07-2022!"Is there a way to access the 'Transaction Date' in the survey? I guess I have to set it up as Embedded Data?And if so, is there a way to only use the day (and not the entire time stamp including the time)?Thanks!Manfred

Segments and Invite Automation

Hi all, I’d like to check on the proper / smartest way to set up the following in Qualtrics: I have contacts that get loaded into the directory via API (no normal file import possible, so contact list import automation is a no go) I have different segments based on the embedded data field “survey_delivery”, for example everybody with “sample order” in the field survey_delivery is a segment I want to run a daily automation that sends survey invites to every participant in this segment 35 days after they have been added to this segment They should only receive the invite once - once they have received the invite after x amount of days they should transition out of the segment automatically What would in your experience be the smartest way to set this up? My worry is, that when we leave customers in the segment endlessly, they will receive a certain survey multiple times, even though they should only get it once.  Thank you!BR
