Today we’ll go through a brief overview of the Data & Analysis tab and look at the different tools that it has to offer. By the end of this video you will know how to navigate the Data & Analysis tab, customize and save your data layouts, and manage all of your responses.

What is the Data & Analysis tab used for?

The Data & Analysis tab is your go-to place to look at all of the data you've collected, including responses in progress and completed responses.

How do I switch between in-progress and completed responses?

You can toggle between the two using the dropdown at the top. The numbers displayed tell you how many responses are in each of these two categories.

 

Understanding Dataset Status

 

What does the dataset update status mean?

The dataset update status shows how recently you've received responses:

  • Active: You received a response today or within the last 15 days
  • Partially Inactive: It's been more than 15 days but less than 30 days since your last response
  • Inactive: More than 30 days have gone by since your last response

Customizing Your Data View

 

What information is displayed in the columns?

The different columns display specific information about each response, such as response date, completion status, and answers to survey questions.

How do I modify which columns I'm viewing?

Use the Column Chooser to customize your view:

  • Select any field you'd like to see
  • Uncheck any field you'd like to hide

Can I save my customized view?

Yes! If you're happy with your current view, you can save it as a layout for future use.

How do I reorganize or sort columns?

You can:

  • Click on any column header to sort it
  • Move the column position by dragging
  • Hide or include new columns using the column menu

Filtering Data

 

How do I filter my data to see specific responses?

  1. Click Add a filter.
  2. Select the field you want to filter by (e.g., age group).
  3. Select the value you wish to filter by (e.g., 18 to 24 years old).

Can I save filters for future use?

Yes! You can save filters so you don't have to recreate them each time.

 

Viewing and Managing Individual Responses

 

How do I view an individual survey response?

  1. Click the three dots at the end of the response row.
  2. Select View Response.

You'll see the entire response along with any embedded data associated with it.

What other actions can I take on individual responses?

Using the three dots menu, you can:

  • Delete the response
  • Generate a link so the respondent can resubmit their response
  • Export the response as a PDF

Exporting and Importing Data

 

How do I export my dataset?

  1. Click the Export & Import button.
  2. Choose which file type you would like your export in (e.g., CSV, Excel, SPSS).

Can I export specific responses instead of the entire dataset?

Yes! You can select specific responses and export only those.

What else can I do with the Export & Import button?

The same button allows you to:

  • Import data
  • Create response automations
  • View export and automation history

Adjusting Page Display

 

How do I view more responses per page?

If you have a large dataset, you can change the number of responses shown per page using the dropdown at the bottom. By default, it shows 20 responses per page, but you can increase this number.

How do I navigate between pages?

Use the page navigation controls at the bottom to move between pages of responses.
