Access for Action Planning multiple EX projects

HI team, 

 

For now I know that with Action Planning in EX projects, we can give access to edit or to use action plans to users. But the question from our project managers is if we could keep lets say for an older survey just view access to Action PLans , where managers can just check what action they had in the past, but not create new ones in that Org Hierarchy / project by mistake and in the newwer one they could create and follow up with the new Action Plans? 

Is that possible?

Managing action plan permissions across multiple survey cycles can definitely get tricky, especially when you want managers to look back at their historical goals without accidentally messing anything up.

Based on how Qualtrics structures action planning permissions, your options are generally split into project-wide editing rights ("Edit all action plans") or user-level rights ("Use action plans"). With the standard "Use action plans" permission, managers can view plans tied to their organizational hierarchy but can only edit or update the ones they actually created. Currently, there isn't a native "lock" toggle that automatically turns older action plans into read-only mode while keeping editing active for a newer survey cycle within that exact same project context.

Since action plan data is strictly tied to its specific project, you can't seamlessly merge or import old action plans directly into a brand-new project. Instead, the best way to handle this is by leveraging Manager Assist, which is designed to surface those historical action plans in a unified view. You can then manage current-cycle creation by adjusting your dashboard role permissions for the active project.
