Hi All,

We have a Business Unit in our org hierarchy where multiple teams, as individual teams, do not meet our anonymity threshold of 7, however combined they would. Without lowering the anonymity threshold, is there a way we can combine this data in the dashboard so that the tech managers highlighted can see a combined view of their results, that includes the Tech Manager who does meet the anonymity threshold (who is not highlighted)? I’ve tried doing this using the Dashboard users profile to restrict access by these teams, however the teams that don’t meet the threshold still don’t appear.

(Image below shows this org hierarchy, I’ve just replaced the individuals names to protect confidentiality).

Hello, Emma!

When working with Qualtrics dashboards and anonymity thresholds, please be aware of the following limitations regarding combining data from small teams:

1. Combining Sub-Threshold Teams

  • There is no direct way within Qualtrics dashboards to combine multiple separate teams that individually do not meet the anonymity threshold into a single combined view for tech managers while preserving anonymity.

  • The anonymity threshold is applied at the data point level for each distinct group or breakout value.

2. Access Restriction and Filtering

  • When restricting access using dashboard user profiles and filters by teams, any team that does not meet the anonymity threshold is either hidden or grouped.

  • This depends on whether Enhanced Confidentiality is enabled and the sensitivity setting of the field.

  • Units below the threshold are shown as "Grouped for Anonymity" or are grayed out and unselectable in organizational hierarchy filters.

3. Enhanced Confidentiality

  • Enhanced Confidentiality does allow for grouping values below the threshold with the next smallest data point to meet anonymity requirements.

  • However, this grouping is automatic based on field sensitivity settings and does not allow arbitrary manual combining of specific teams.

  • Dashboard organizational hierarchy filters will still exclude units below the threshold and do not allow for the individual selection of those units.

4. Summary of Data Visibility

  • Teams individually below the threshold cannot have their data shown separately.

  • If a higher-level business unit or a manager’s unit meets the threshold, that aggregated data will appear (and potentially include the smaller teams combined under it).

  • You cannot create a dashboard filter or view that manually combines only those small teams' data, even if together they cross the threshold.

5. Alternative Approaches

  • Use Enhanced Confidentiality with appropriate sensitivity settings so smaller groups are automatically grouped.

  • Consider adjustments in the organizational hierarchy or manage access at a higher level where thresholds are met.

  • Limit data sources or filters to control data counts and avoid confusion in threshold calculations.
