Controlling data view access in EX employee engagement survey

I have to share Employee engagement data and analysis tab with my analytics group but I also want to make sure they dont see PII variable like participant email, name and some other meta data like employeeID etc. How can i do same in EX platform?

To share Employee Engagement data and analysis with your analytics group while preventing access to PII variables (such as participant email, name, employeeID, and other sensitive metadata) in Qualtrics EX, follow these steps:

  • Enable Enhanced Confidentiality: Activate this setting on your dashboard. This introduces confidentiality thresholds for both metrics and counts in sensitive fields, adding a layer of protection.

  • Mark PII as "Extremely Sensitive": In the dashboard's Confidentiality settings, mark fields containing PII or sensitive metadata (e.g., email, name, employeeID) as "Extremely Sensitive." Data points below the set anonymity threshold will be grouped to protect individual identities.

  • Categorize Other Fields: Mark other fields as "Somewhat Sensitive" or "Not Sensitive," based on their potential to identify participants.

  • Adjust Threshold: Customize the confidentiality threshold (default is 5 responses) to control the minimum number of responses required before data is displayed.

  • Customize Display: Use the dashboard settings to control which fields are displayed, ensuring PII fields are appropriately grouped or hidden based on their sensitivity.

  • Assign Permissions Carefully: When sharing, set permissions so the analytics group can view the dashboard but cannot access raw data or exports that contain PII.

  • Further Protection: Consider removing PII from the survey data before dashboard creation or utilize Pseudonymization features (available for Engagement projects) for additional security.

By implementing these confidentiality controls and managing permissions, you can securely provide your analytics group with the necessary engagement data without exposing sensitive employee information in the reports or dashboards.

I recently run into a similar problem - I had to provide view on raw data for three different parties, but each of them only needed access to the records relevant to them.

What I ended up with was a different setup altogether:

  • Ad-hoc Employee Research Project - Survey + all the data
  • 3 different “Imported Data Projects” that were automatically fed from the one above, and only the selected fields
  • CX Dashboard project to also give views for each group separately.

It might sound a bit overcomplicated, but it was quite easy to setup. The original project is given, I just had to create a new “Imported data” project, manually add the fields I wanted to have there, and add a scheduled workflow into the original project - every hour it goes through the responses, and copies the new ones into the data project:

The important bit was to make sure not to have the extra header fields in the “Extract responses from survey”:
 

And in the “Load into a data project”, I just made sure the mapping is correct.

 

The result sounds like what you are after - there is the data view, but only the fields that were selected and mapped, nothing else.
