I’ve created my org hierarchy, but I’m not figuring out how to update it with employee/manager changes (i.e. this employee now reports to a new manager).

To update your organizational hierarchy after employee or manager changes, you must update the relevant metadata fields in your participant file and re-import it to trigger a hierarchy regeneration.

 

Steps to Update the Hierarchy

 

  1. Update Metadata: Edit your participant file to update the required metadata fields:

    • For a Parent-Child hierarchy, ensure the Employee ID and Manager ID columns reflect the new reporting relationships.

    • For a Level-Based hierarchy, update the appropriate level fields.

  2. Re-Import Participants: You must re-import the updated participant file into your project. Simply updating participant metadata manually does not automatically update the hierarchy.

  3. Apply Changes to Responses: After the import, it is critical to run an "Update Responses with Current Metadata" job to ensure the hierarchy changes are applied to your existing responses and dashboards.

 

Troubleshooting and Best Practices

 

  • Export and Update: If facing issues, export the current participant file first to ensure you have all required headers (including hierarchy fields), update it with the new relationships, and then re-import the full file.

  • New Managers: When adding new managers, ensure their manager fields are populated correctly and included in the updated import file.

  • Rebuilding: If the hierarchy still doesn't update, rebuilding a new hierarchy with the updated metadata is often the most reliable solution, though you should exercise caution regarding existing mappings.

@SandraH it’s an annoying element we encountered when using org hierarchies in Qualtrics. You need to:

  1. Export the list of participants and their metadata from your project.
  2. Update the employee > manager hierarchy in the excel file.
  3. Import that file back into the project in order to update the org hierarchy.

Unfortunately, there is no “refresh from participant metadata” feature (as far as I’m aware).
