Hi All,

Hoping someone can help me...

We use the course and faculty evaluations part of Qualtrics, and I had a student reach out that in their que, they are able to see a course that still says “To Do” but when they click on the link, it says, “Already completed the survey or your session has expired.” I asked them to empty their cookies/cache, and they are still not able to access it.

I chatted with Qualtrics employee and they were not able to help and said there wasn’t a way in the Course and Faculty Evaluations area to just resend a link for a specific course to a specific student.

How does your school do this so the student can take the survey? Do I set up an one-time evaluation for them?

It’s possible the student already used the link and performed the eval survey.

Or the link that was published was a one-time use link… but in that case, I would think you would hear from more students.

I do not publish personalized survey codes but I am curious to learn the solution, too. You want the code to be one-time use, but not tied to a student so that they can stay reasonably anonymous.

Hi Jill, 

It could be a couple of things so there are some troubleshooting questions I’d want to answer first:

  1. Is there an error code in the URL when the student receives the “already completed/expired” message?
  2. Check when/if partial collection will be set to record partial completions. This is in the Options - Responses - Incomplete Survey Responses section.
  3. Has the survey link expired based on some parameter on the distribution?
  4. If you look in the data and analysis tab of both the course and instructor surveys, is a response recorded for the student?
  5. Is it possible that the branch logic is excluding the student for some reason?
  6. Double check that collection hasn’t been paused on one of the surveys

We saw this behavior for a few students during our Spring 2025 evaluations where the student had completed the survey, but the survey remained listed as To Do. Like A. Strong mentioned in #4, we verified the response was collected and let the student know they can ignore the To Do marking for that particular evaluation. To my knowledge, we haven’t run across this situation in our current course evalation period, which just ended.

Thank you for your suggestions! The survey was still open, and we allow for retakes.

I ended up going in as suggested by ya’ll to see if perhaps they did submit an eval and there was a glitch with the “To Do”, and I did verify a response was received.
