Hello, I am new to Qualtrics and have a question regarding data collection from different teams within an organization.

For instance, the organization comprises 30 teams, with each team consisting of 1 leader and 3 members. I need to gather data from each team, including both leaders and their followers. However, there are two distinct types of surveys: leaders are required to complete the leader survey, while followers must complete the follower survey.

Since followers will rate their leaders, I need to match the data to determine which followers are rating which leaders (and the team to which they belong).

Given that I have the email list of the 30 teams (including the email addresses of each leader and their followers), how can I distribute the surveys to the appropriate individuals?

Hi @Thuy_2024 , you must have created two distinct survey versions - one for leaders and one for followers. Customize each survey version according to the specific questions and requirements for leaders and followers.

Segment your email list into two groups - one for leaders and one for followers. Ensure that each group includes the appropriate email addresses for the leaders and their respective followers.

In Qualtrics, you can create two distribution lists - one for leaders and one for followers. Add the email addresses of the leaders to the leaders' distribution list and the email addresses of the followers to the followers' distribution list.

Generate unique survey links for each survey version (leader survey and follower survey). You can use the same survey but with different parameters in the survey link to identify the role of the respondent (leader or follower).

When distributing the surveys, include embedded data in the survey link to identify the team to which the leader and followers belong. This will allow you to match the data later on.

Send out the survey invitations to the leaders and followers separately using their respective distribution lists. Include personalized survey links in the invitations.

Once respondents complete the surveys, you can analyze the responses in Qualtrics. Use embedded data to match followers' responses to their respective leaders and teams.

To distribute the surveys to the appropriate individuals in Qualtrics, you can use the following steps:

1. **Create Contact Lists**: 
   - Import the email list of the 30 teams into Qualtrics. 
   - Organize the contacts into appropriate groups representing each team. Each group should include the leader's email address and the email addresses of the three members.
   - You can import this list using a CSV file or manually input the contacts.

2. **Set up Survey Flow**:
   - Create two separate surveys: one for leaders and one for followers.
   - In the Survey Flow section of each survey, add an Embedded Data element to capture the team information.
   - Use Branch Logic to direct respondents to the appropriate survey based on their role (leader or follower). You can use Embedded Data to identify the respondent's role based on their email address.

3. **Distribute Surveys**:
   - Use the "Email" distribution method in Qualtrics to send out the surveys.
   - When setting up the email distribution, choose the appropriate contact list (the one containing the teams).
   - Personalize the email messages to include instructions for leaders and followers, specifying which survey they need to complete.
   - Make sure to include unique survey links for each respondent to ensure their responses are tied to their email addresses.

4. **Capture Team Information**:
   - When a respondent starts the survey, use embedded data to capture their team information.
   - For leaders, this could be straightforward as you already have their email addresses. For followers, you can extract the team information from the email list and map it to each follower.

5. **Data Analysis**:
   - Once responses start coming in, you can analyze the data by filtering based on the embedded data capturing team information.
   - You'll be able to analyze leader ratings based on their team members' feedback and vice versa.
