Cyclical Survey Report via Email, Specific Dates | XM Community
Skip to main content

Hi,
I'm looking for a solution to a challenge – maybe some of you have similar experiences and can share ideas on how you handled it.

For business users who won't be checking the Qualtrics dashboards daily, I need to prepare a cyclical report.
I noticed that in the survey settings, there’s a tab for reports where the appearance and content can be customized.

The challenge is that I’d like to export an NPS score in the report, calculated for a specific date range (from the 8th of one month to the 8th of the next month). Is there a way to set this up?

It’s important that such a report is exported because, under the "right to be forgotten" law, a user who requests to be forgotten is deleted from the database, along with all their associated surveys. This impacts the NPS score. That's why I need a cyclical, in a sense "frozen" report.

Hello,
Do you have access to dashboards? If so, you can set up a email export that goes out on a daily, monthly, or weekly basis. There is similar functionality for the email reports, but the functionality is more limited.

If you have dashboards, I would suggest these steps:

  1. Set up a new dashboard page that is just for your export and do not give access to this page to other users.
  2. Set a page filter using the Survey Metadata - End Date. If you want these to go out weekly, I suggest setting the page filter to “This Week” and select “Shift back by 1 week”. This way, if you scheduled send goes out on Monday, they will be receiving all of last weeks data. The same goes for monthly, if you are wanting the send to go out on the first of the month select “This Month” and “shift back by 1 month”.
  3. Use the email export section of the dashboard to schedule your email. The benefit of doing this in the dashboard over the reports section is that you can send to external emails as well, so if you have someone that needs the data but doesn’t have a seat in Qualtrics they can still have the data.
    1. In the options section you will “Attach report” selected
    2. You will want the “Include currently applied filters” box checked.

Thanks, I’m gonna try  to configure that.

Sounds good! I hope it accomplishes what you are looking for!
