Exposing Dashboard/Survey data via API for external partners with row-level data segregation

Hi everyone,

We are currently tackling an architecture challenge with Qualtrics and would love to know if anyone has faced a similar use case or could share recommendations.

Context & Requirements: We need to provide external partner offices with API access to experience/performance data that is currently visualized in CX Dashboards.

Current Blockers:

  1. Dashboard API: As far as we have investigated, Qualtrics does not offer a public API endpoint to pull aggregated/calculated metrics directly from Dashboard widgets (only raw survey response export endpoints).

  2. Data Segregation & Security: We must ensure strict data isolation so that each partner can only query and retrieve their own data via API. Standard API tokens operate at the user/survey level and do not inherently enforce row-level access control on raw data extracts.

  3. Divisions: We considered setting up separate Divisions per partner office, but this introduces massive management overhead and does not natively solve API data segregation for a centrally shared survey.

Questions:

  • Is there any native Qualtrics feature or workaround that allows exposing aggregated dashboard data or partitioned survey data via API with strict tenant-level access control?

  • If the recommended standard approach is implementing an intermediate middleware/BFF (extracting raw data into an internal Data Lake, aggregating metrics, and exposing a custom API with Row-Level Security for each partner), is that indeed the best route, or is there a Qualtrics-native alternative?

Any insights, architectural patterns, or experiences would be greatly appreciated!

Hi, although Dashboard API is not available, you can use the export dashboard’s recurring email option and send the dashboard data to emails along with data as an attachment.

The point here is not whether users have access to or visibility of the data. The users already access dashboards and use them in their day-to-day activities. These users are third parties associated with my client, and what the client is trying to do is make the dashboard data available so that these partner firms can consume it and use it internally.

Qualtrics has already stated that this is not possible for now and that it will most likely require custom development.

From the beginning, that was my impression as well, but it didn't hurt to ask here!v😊
