I'd like to ask for some advice and share a scenario we're currently working through.
We recently took over a client's existing Qualtrics environment that had already been implemented, but without a defined governance structure. As a result, there are multiple users with assets distributed across their accounts, including surveys, workflows, integrations, and other platform resources.
As the first phase of our project, we're focusing on organizing the environment and establishing a stronger foundation for future governance processes and standards.
At this stage, our main goal is to map everything associated with each user, understanding how assets are distributed and identifying any existing dependencies. My biggest concern is around workflows and integrations, both to ensure that nothing is missed and to evaluate the possibility of consolidating these resources under a service account or a generic/shared user in the future.
Has anyone gone through a similar exercise? If so, how did you approach it?
I'd also appreciate any recommendations regarding:
- Best practices for identifying workflow and integration owners;
- Strategies for creating a comprehensive inventory of platform assets;
- Common risks or considerations that are often overlooked during this process;
- Recommendations for future centralization and governance of the environment.
Any insights, lessons learned, or suggestions would be greatly appreciated.
