Hello - I need to send the same survey to the same person multiple times. The only difference in each is the embedded data for the vendor category. I am using a contact list that identifies the relationship owner (Survey recipient) and the vendor(s) that they own the relationship. The 17 questions are pulling in the Vendor name as embedded data in the contact list.
What I can't wrap my head around is how do I distribute up to 20 surveys to the same person based on the vendor they are responsible for. I didn't want to do loop & merge because each survey is 17 questions and the most a person has to complete is 20 so that is A LOT at one time. The thought behind sending emails is to let the respondent complete the surveys as they have time.
Below is a screenshot of how I have structured the contact list to add the embedded data to the survey questions. Do I need to create a question for each vendor and set some type of display logic in the survey?

Hi there, for the Qualtrics mailer to avoid prevent as duplicate, the Subject Line or the Email Body must be different. Try setting up your list like the below and include the Vendor to be evaluated in the Subject Line and Email Body. The recipient will receive 1 email for each Vendor evaluation.

Thoughts on a way to send the survey out multiple times to the same recipient without copying the blocks and using display logic?
I have a few recipients that will need to complete the survey 20 times for 20 different vendors. And I have a total of 220 vendors. So I'm either sending 220 individual surveys (yuck) or copying the survey block 220 times and adding display logic leveraging the embedded data in the Contact List.


The method I described would make it so the survey would have just the 17 questions but each response has a different Vendor as an Embedded Data field. This would require 220 individual links to be created, 1 for each Vendor, but would allow the respondents to complete the evaluations one at a time. I might recommend generating these links as Personal Links and then sending single emails to Relationship Owners outside of Qualtrics that contain their Vendor evaluation links in list format.

Just setting the survey to accept multiple submissions is perhaps too easy and/or risky?

Regarding the "issue" of not being able to receive the survey more than once, I navigated around that by adding this code in white in the birdseed so it's not visible: ${date://CurrentDate/c}
That makes the email client write out the exact time the email was sent which the client accepts as a "different" layout of the email and it would go to the same person looking identical.
The actual text that gets written in the email is this (example): 10/15/22 4:40 AM EDT
But I also liked the suggestion provided by Tom_1842 . Nice and clear messaging.

Tom_1842 this is how I had my contact list set up originally! Clearly, I was overthinking the setup. Thank you so much for your help, I appreciate it!


@Tom_1842 Sorry to revive this old thread but I am attempting the same thing. We are wanting to send the same survey to our contacts that were involved in multiple projects with us, and we would like to send in one distribution list. The results will be reported on based on the embedded field of the “Project”.

I set up my list just like you showed, the same email multiple times in rows with a different “Project” next to each. However, when I send, I am only getting 1 email. I set my subject and body to text pipe in the “Project” assuming that would make each email unique. However, I am curious if the emailer only looks as the text pipe setup of ${e://Field/Project} and not the ACTUAL text it pulls in. Any thoughts?


@JasonG Hmm, I just checked on my end by sending myself 5 invitations that are differentiated by an Embedded Data field piped into the email body, and I was able to receive all 5 invitations. I wonder if you have automatic deduping enabled for the Directory you are uploading the list to? If ${e://Field/Project} is successfully piping in the 1 email you received, that might explain why only 1 invitation is going out.


@Tom_1842  We have merging of new contacts based on email turned on for our directory. Would that affect this you think? 


@JasonG I believe so. Each time you are adding a list of contacts to the Directory that share the same email address (which is what this thread's method requires when using the Qualtrics mailer), your dedupe settings are merging them into 1 contact. If you can, I might recommend creating another Directory that does not dedupe on Email and adding the contacts there. Or, if sticking with the main Directory, you can try creating a contact list that has unique but fake emails and create Personal Links to distribute outside the Qualtrics mailer.
