We NEED to be able to delete old/test Distributions!

1. Issue Identified

Qualtrics' new email experience no longer allows users, including Brand Admins, to delete sent distributions. This creates challenges when performing live survey testing, as test distributions remain in the project and can impact reporting and analytics.

2. Qualtrics' Response

  • This is an intentional design change, not a defect.
  • Sent distributions can no longer be deleted in the new experience to preserve distribution history.
  • Qualtrics acknowledged the concern and recommended submitting the enhancement request through the Qualtrics Community for Product Management review.

3. Concerns with This Direction

  • Test distributions can distort response counts, response rates, dashboards, and AI analysis.
  • Administrators must now manually exclude test records from reports and downloads, apply filters throughout dashboards, etc
  • Increased risk of reporting errors if test records are not consistently filtered out.
  • Removes flexibility previously available in the legacy experience, even for Brand Admins.

Unfortunately, even though we could manually delete the distribution in the past, funnel reporting still always included it. They did not remove it from that distribution history even if you could no longer see it within the survey itself. I found that out the hard way years ago.

I always create a test copy of the survey for distribution testing, so it doesn’t impact my production distribution reporting. And I make sure that those contacts are saved to a different list and a “Test” directory I created as well. 

I don’t disagree with you that it would great to be able to delete it, but I highly doubt they’ll adjust this functionality, and the “intentional design” response is a canned response I get to almost any unwanted functionality I’ve reported over the years.
