EX Org Hierarchy Grouping Participants with vacant leader role

We currently have a team where we have a vacant position (let’s call it Vacant Superintendent). Typically the org hierarchy would have 3 Superintendents reporting to the Manager, while the position is vacant we’re running our annual Culture/Engagement Survey so all the people who would typically report through to Vacant Superintendent are reporting directly to the Manager. As these teams are too small, they won’t meet our anonymity threshold to view their results when dashboards become available. Is there a way to create a “Vacant Superintendent” role in this structure, so the Manager can view the results of our survey for this team? If so, how?

To my knowledge, Qualtrics hierarchy is done by person to person relationship and does not have the ability to switch to position to position relationship.

One way is to import a placeholder superintendent person (essentially a ghost person), add them to the org hierarchy, then move those people to sit under them.

That way, the manager can see the results of those sitting under this ghost person.

Given that org hierarchy does not update automatically, this plays to you advantage as this ghost person will remain there as long as you wish.

Instead of the direct parent-child hierarchy, have you considered the level based one?
I am not sure if your master data would allow it, but the level based does not necessarily need the manager on every linked level. It can be more robust in case your hierarchy cannot be purely done on the direct manager links.

Thanks, I’m trying this approach. I have the “vacant”/dummy user role in as a non-participant and added them to the org hierarchy, I just need to re-label the supervisor ID through manual upload when the survey is closed because I can’t seem to move them under this role in the hierarchy itself.

Unfortunately not. The parent-child hierarchy is the best for our organisation, with the data we have available. I’ll continue to test other hierarchy options as our data integrity and maturity increases.
