Hello!

I have been using Qualtrics for many EX projects during the past years, and have always been involved with allocating dashboard permissions to users. This is the first time I experience the problem below:

When I try to restrict the dashboard data for a user based on a filter (based on the company name, which is mapped as multi-answer in the dashboard), I can't find the company that I am searching for. 

I am sure that there are over 100 responses from that company (I can see them both in the dashboard and in stats IQ). And yes, I updated both the metadata and the invited counts recently. 

Has anyone else experienced this? Did you find a solution?

If you cannot find a specific company name in a dashboard filter, even though responses from that company are visible elsewhere, the issue likely relates to metadata mapping, indexing, or field type limitations.

  1. Metadata Sync & Indexing:

    • Sync Data: Run the “Update Responses with Current Metadata” job to ensure the latest participant metadata is applied to all responses.

    • Reindex Dashboard: Immediately reindex the dashboard after metadata updates to refresh the filter options.

    • New Value Delay: Be patient if it's a new company; the value may not appear until an account refresh or cache invalidation occurs.

  2. Data Integrity:

    • Check Value Consistency: Look for leading or trailing spaces or subtle inconsistencies in the company name value within the metadata file. These errors prevent the value from appearing as a filter option.

    • Verify Field Mapping: Ensure the multi-answer metadata field is correctly mapped in the participant list and the dashboard's data mapper.

  3. Field Type Limitations:

    • Multi-Answer Fields: Be aware that multi-answer text set fields may have filtering limitations in certain widget types (like Response Rate widgets).

    • Recodes: Filters do not support recoded metadata fields in Response Rate Table widgets. If you need to filter on a recoded value, you must create a new metadata field containing those recoded values and map it separately.

  4. Permissions and Controls:

    • Check Access: Verify that the user has the permissions to view the metadata field.

    • Review Controls: Ensure anonymity thresholds or role-based data access controls are not restricting the filter visibility.

If all these steps fail to resolve the issue, submitting a support pulse ticket with Qualtrics is the recommended next step.

I reached out to Qualtrics Support at the time and they kindly fixed the issue (not sure what the issue was, technically speaking, though it's my impression that there was some kind of a limit on the multi-answer text fields).

The solution only works in one dashboard and not the other, but it helped us move forward.
