First of all: *sighs* yes, user type management can be messy. Especially because there’s a bunch of Qualtrics “standard” user types in there that cannot be deleted and clutter the list. Feel free to upvote Idea EV-1177 on the ideas page to get this higher on Qualtrics’ radar to get rid of those :-)

There’s so many boxes in the user types too, not all of them are self-explanatory. You need to keep https://www.qualtrics.com/support/survey-platform/sp-administration/managing-users/user-permissions/ next to it to understand what they all do.

What did help me is the following excel template.

I can’t remember where I got it from, I guess somewhere on this community too, but I can’t find back the original topic to give my thanks once more to the original creator of it. I haven’t used or updated it recently though, so there will be more/other permissions existing in Qualtrics meanwhile, but still it provides a good baseline. 

The file has collapsible and colored headings for the different parts in the roles, and underneath each permission item. You can use it to get an overview of the roles you are currently using and the exact differences between them. I hope this can help you too.
