Welcome to Qualtrics onboarding emails?

Recently a number of users on our license received a “Welcome to Qualtrics!” onboarding email. It seems that it was received by users that created accounts in our license within the last month or so. 

The email does come across as quite phishy, but I do believe it’s legitimate (just poorly designed). I have no reports of these onboarding emails going out in the past 13 years we’ve had a Qualtrics license. Qualtrics support stated that they don’t typically send out onboarding emails but they do have a new user experience rolling out so it may be part of that and that I should check with my rep. I have done this, but waiting on a response and it typically is like pulling teeth trying to get information from our rep. 

Have others recently had users receive onboarding emails that include your org’s name and a Log In button?

Greetings,

I’ve not heard of anything like this going out on our end, although we use SSO so our users may not get an email regardless.  Interested to hear what support has to say.

Yes! Our new user accounts started receiving these emails recently and we don’t like the messaging and design. The recipients actually reported this to our InfoSec department as phishing attempts. I think if this is a new implementation, admins should have the option to disable and/or change the message and branding. We also use SSO provisioning and those users are getting the welcome emails.

Hello ​@jgrywach & ​@JeffT, thanks for flagging this! I can confirm this is a real email from Qualtrics. We automatically send new users a login link when their account is created. This standard onboarding email has been in use for years. Recently a brief internal technical migration paused these sends earlier this year, but everything is now resolved and working as expected. If you’d like to share what details about the messaging or design caused your worries, I’d be happy to provide that feedback back to my team. 😊

This is what I learned from Support: So, answering your question, the Welcome to Qualtrics onboarding emails cannot currently be disabled on a brand-by-brand basis, including for SSO brands. These emails are sent through Gainsight and are owned by the Digital Customer Success team, not controlled by a Qualtrics brand-admin setting

@JoseS I agree with ​@JeffT about the messaging and design. These have been flagged as phishing by our users as well. Admins should have the ability to opt in or out. We are not encouraging interaction with this email. My feedback is that if this is going to be mandatory, we need to be able to include branding or some other indicator that this is a legitimate email for our users to stop flagging it. I would also like to know what Gainsight is and what it has access to if our users click those links.

Hello ​@KimberlyW, thanks for the feedback regarding both branding and opt-in accessibility! I’ve passed it along to our DCS team. 

I'm sorry our support team included the term Gainsight in their explanation. That is the name of a system we use internally to build email campaigns and I don't know why it would be mentioned. If a user clicks the link in the email, they will be brought to their Qualtrics login page. 
 

Nobody will have access to anything regarding your users. Gainsight will not record what link they clicked or anything beyond email delivery status. If you have concerns, please review our security and compliance documentation.
