Is it possible to change the expiration link date of my survey?

It depends if the survey is scheduled and not sent you can change it by clicking on advanced options. But, if the survey is sent unfortunately you would not be able to change the link expiry.Email Survey Invitations (qualtrics.com)

In my opinion this feature with the survey expiration setting in the Advanced Options should be more prominent, and there could be a mechanism to require confirmation of the setting before the invitations are sent. When I first started using Qualtrics I did not even know this setting or these advanced options existed. It is too easy to overlook. I only discovered this when it was too late and I was unable to send a reminder since the expiration date had passed. In those instances the solution was to creat a new contact list based on the distribution history of the original contact list. I have seen this happen more than once.

When you are composing email invitation, select Show Advanced Options in the bottom-left corner to adjust the Link Expiration. You cannot change expiration date after the email has been sent.

Revisiting.

Qualtrics’s new Distribution layout seems to have a Change link expiration feature.

@kpalma , Yes, you can. With the new Distribution layout in Qualtrics, you can use the Change link expiration feature to update the expiration date of survey links even after they have been sent out.

How to do it:

  • Go to your distribution management options.
  • Select Change link expiration to update the expiration date for your survey links.

Important note about partial (incomplete) responses

  • If a respondent has already started the survey before the original link expiration, their ability to finish the survey is governed by the Incomplete Survey Response setting (also called Partial Completion).
  • Changing the link expiration date will allow new respondents (who haven’t started the survey yet) to access the survey for the new time frame.
  • However, if a respondent’s partial response has already been deleted or recorded (based on your Incomplete Survey Response settings), extending the link expiration will not allow them to resume or restart their survey. They would need a new invitation.

 

Testing Results

I tested the invite expiration functionality using the following scenario:

  1. I scheduled an invite with a 5-day expiration.
  2. I received the invite and started the survey, but did not complete it.
  3. The partial response showed an expiration date of September 4, which is consistent with the original 5-day expiration rule.
  4. I then changed the expiration setting for the link to 10 days.
  5. However, the existing partial response was not updated to reflect the new expiration date.
  6. I also tried deleting the partial response and retaking the survey, but the UI still showed the original expiration date. Same result even after sending the reminder.
  7. Interestingly, the Distribution History does show the updated expiration date based on the new 10-day setting.

I'm not sure whether this is expected behavior or a bug. It seems like there may be a discrepancy between the expiration date shown in the response/survey UI and the expiration date shown in Distribution History.

Can anyone confirm whether the expiration date is expected to remain fixed once an invite has been generated, or should it update when the expiration setting is changed?
