Hi, all

I’m building a survey that will be distributed to various teams across a couple of departments via an anonymous link. I want to build an org hierarchy with expected response numbers, and include a question where respondents select their level in the hierarchy.

I want to create one hierarchy that contains several departments, and the survey link sent to teams will identify their department. When the hierarchy question is displayed, I’d like them to see only the levels within their department, not the whole hierarchy.

How can I do this?

When using a combined level-based hierarchy across multiple departments, you can ensure respondents only see branches relevant to their own team by combining Embedded Data with Survey Flow logic.

Implementation Overview

1. Create a Level-Based Hierarchy Establish a single, comprehensive hierarchy in your directory that includes all departments and their respective levels (e.g., Division > Department > Team).

2. Configure Survey URLs When distributing anonymous links, append a unique identifier for each department as a query string.

  • Example: https://survey.qualtrics.com/jfe/form/SV_123?dept=Sales

3. Set Up the Survey Flow Capture the URL parameter and route the respondent:

  • Embedded Data: At the very top of your Survey Flow, add an element to capture dept.

  • Branch Logic: Create branches based on the value of dept.

  • Question Blocks: Place the Org Hierarchy question within these branches.

Filtering the Hierarchy Question

Inside each branch, you can configure the Org Hierarchy question to restrict visibility:

  • Use Display Logic within the question settings to filter specific levels based on the respondent’s metadata.

  • This ensures that a respondent tagged as "Sales" is only presented with the Sales-specific hierarchy tree, rather than the entire organization's structure.

Key Benefits

  • Reduced Friction: Respondents don't have to navigate through irrelevant departments to find their team.

  • Data Integrity: Limits selection errors by removing incorrect options from the UI.

  • Consolidated Reporting: Even though the display is filtered, the data remains tied to a single source hierarchy for unified reporting later.

If you find that the hierarchy levels are not updating correctly in the survey preview or if you have trouble with the query string syntax, you may need a direct review of your survey flow configuration.
