I run several workshops throughout the year. Typically, I have a registration survey where the person enters their contact info and this data is used to create a contact list for that particular class. The day before the class, I used the “Email contact list” option to remind everyone about the class. It seems this option is no longer available - or I am not looking in the right place.
How might I accomplish this? I can’t use the built-in “Reminder” email since everyone has completed the registration. I tried using the scheduled workflow, but it doesn’t work with a contact list or even any info from the survey.
Thanks!
Paul

Hi,
Did you previously find the “Email contact list” option in the Directories module, or somewhere else? I’m not sure if you have the full XMD, or XMD lite, but if you have the former, you can send emails without survey links through the Distributions tab; see the screen shots below.
HI Matthew,
Thanks for your reply. Unfortunately, my version of Qualtrics doesn’t look anything like this - we have the basic academic XM. The email option was in the specific contact list under “List Options.”
I tried using a Scheduled Workflow, but you can’t use that with a contact list. The only other thing I can think of is to export the list, then copy & paste the addresses into Outlook. Not the end of the world, but a pain in the neck - especially compared to what I used to be able to do!
Hi Phbern,
If the "Email contact list" option is no longer available, you can still accomplish the task of sending reminders to workshop participants using alternative methods. Here are a few options:
1. Export the contact information from the registration survey as a CSV or Excel file. Then, use an external email service or your email client's mailing list functionality to import the contact list and send the reminder emails manually.
2. You can use Qualtrics' APIs to automate the process. You can retrieve the contact information from the registration survey using the Qualtrics API and use it to trigger reminder emails through your preferred email service or platform.
Please check with your brand administrator about the same permissions if you are not able to see XM directory option and if you are brand admin of your account then please reach out to your Account Executive to know the limit of your license and you can check the alternative of that option with them.
For external distribution, @Nanditha MM has already shared the procedure with you.
