Hi Community,

I’m trying to limit the number of responses for my survey in Qualtrics — specifically, I only want to collect 200 responses.

I found an old community post suggesting to use quotas. However, according to the Qualtrics support page on quotas, there’s a warning that:

Warning: Quotas aren’t always foolproof. Quota information is not saved until the respondent submits their survey, giving respondents time to change their answers or deliberate over their choices. Because more than 1 person can enter the survey at a time, there is a chance that multiple people submit answers at the same time, possibly resulting in going over quota. For this reason, we caution against users relying exclusively on quota data for providing any monetary rewards or compensation to survey respondents.

Because of this, even if I set a quota of 200, there’s still a chance that the total number of recorded responses will go over 200.

So, ss there any other way to strictly limit the survey to accept only 200 responses and automatically stop collecting responses once this limit is reached?

Without making it too complicated, you can set your quota at something less than 200. How much less depends on fielding method and speed. Also, consider setting incomplete responses to delete after a short time in survey options.

Relying on quotas for the exact target response count is not recommended.

One workaround I can suggest is to add a branch in the survey flow after each question block. This branch will check if the quota has been met and, if so, direct respondents to the end of the survey. This will help prevent your response count from exceeding 200 responses.
