Hi everyone,
I searched on the forum an answer to my question but couldn't find it unfortunatelly.
I send Satisfaction Surveys to students. There is 1 open ended question which is "Institution area of improvement". There are many many answers and eventhough we have Qualtrics Text Iq it's difficult to look at each answer immediately.
But, in some cases we want to be warned immediately. Is it possible to automate an email to me if a student use some key word in his answer (for example racism, assault etc.) ? Even better, is there a way to send an email to a different person depending on an embedded data (here name of the institution) ?
Thank you so much for your help,
You can set up an event-based workflow, so that whenever a new survey response is created that also meets the conditions you select, it will send an email to whoever you designate. You would need to set up a condition that says if the open ended question contains certain words, then send an email to the person you specify. You can also set up more than one workflow so different keywords trigger emails to different people. You can learn more about setting up workflows with conditions here: https://www.qualtrics.com/support/survey-platform/actions-module/setting-up-actions/#CreatingConditions
We're using a Text Sentiment - Topic survey flow element to detect certain keywords (https://www.qualtrics.com/support/survey-platform/survey-module/survey-flow/advanced-elements/text-iq-powered-survey-flows/) and then using the event-based workflow approach jflowers1 described to send an email notification. Works great!
