Previously I could schedule the survey reminder email, how many times the reminder would be sent, and how many days to wait before sending a reminder.
All this functionality appears to have been stripped from this upgraded emails distribution tool.
Does anyone currently use this on an EX lifecycle project with the legacy email distribution functionality?

Hi @bench,
In the new message interface, you can schedule automatic messages to your participants.
Your distributions are then listed in the “Emails” tab.
For each distribution, you can add one or more reminder, directly by clicking on the three dots at the end of the line.
After selecting your message, you will be able to choose the delay between the invite and the reminder.
Below are some screenshot to illustrate.
Hoping this will help,
Élie
Thanks @ElieD that makes sense but is this able to be applied across all Survey Invites that go out without having to do what you did for every single Survey Invite?
Example scenario below
Automation is run daily, and messaging is scheduled daily to ‘All participants who haven't received the survey invite yet’.
In the image below there are survey invites sent on 1/11 and 2/11. I need to configure reminders for those who received the invites on 1/11 and also to those who received invites on 2/11 without having to click the 3 dots → Add reminder; twice.
Imagine once 7 days passes and I have 7 Survey Invites; surely I can’t be having to go through the ‘Add a reminder’ steps 7 times?
Oh, does it really create a new line for each distribution ?
I did not set this up for real right now and I only make some testing but I didn’t realize that point !!!
I’ll keep going my investigations and keep you in touch…
Please report any finding here too ;)
Yeah unfortunately haha, see below for one I set up a wee while ago (using the new messaging functionality).
@ElieD Qualtrics have responded to my ticket and confirmed that users are no longer able to do this using the new messaging functionality.
A bit annoying really, currently our Exit Survey is set up with automated reminders but any new surveys going forward won’t be able to leverage this.. :(
WOW, That’s a serious downgrade to the platform
Can’t find the idea you’re talking about in the Evolve system. Can you give me some keyword I can look for ?
@ElieD this one below
Good,
I’ve added my vote
Hello @ElieD @bench! Did you figure out how to send automatic reminders? Thanks!
Hello @ElieD @bench! Did you figure out how to send automatic reminders? Thanks!
Hello yes I did after having a call with Qualtrics and complaining to them.
Turns out the feature was not clearly explained by support and the KBA (at the time. I’m not sure about now).
When setting up a recurring invite, I had to set up the reminder email as part of that workflow. This would then trigger a reminder email to be queued every time a batch of invites was sent out.
@bench Really appreciate the fast response! Thank you!
@bench Really appreciate the fast response! Thank you!
forgot to add.. I wasn’t quite clear on how I would go about adjusting the schedule of the invites + reminders.
Would I have to dig into the history (few years back in Nov 2023 now) and modify the original recurring invite or could I modify any of the recurring message tasks (as highlighted below).
I think that’s a problem for future me to log with Qualtrics support as I get the error below when I try to edit the Email task highlighted above.. :)
@bench I'll test that within the next days and let you know. After chatting with the Qualtrics Support bot this morning, it looks like I'd just need to add the reminder to the most recent survey schedule - this schedule was set up July 2024 to run daily. So, the way I understood it, is I just go to the schedule for tomorrow and add a reminder and that will run a reminder for every future workflow as well. Will keep you posted!
@Paula_978 fantastic, really that would be the most ideal outcome.
@bench, thanks for responding to a post from a year ago, truly appreciate it!
@Paula_978, let us know how it goes! I’d be happy to internally escalate the issue if you require further assistance
Hi @bench
It looks like the reminder automation is working well in projects! One would need to schedule the reminder on the recurring email task that is scheduled but has not run yet: this will get the reminder running automatically for future tasks as well.
Once a reminder is scheduled, you can click on it and it will give you the audience size for that reminder. I find this feature very helpful - it gives peace of mind that the reminder email will not get triggered for a sample larger than the sample from the invite email.
What I found difficult was the following: on each trigger we have 2 people that are notified when the task runs. For the reminder, I just wanted to have 1 person get the notification. I finally didn't manage to remove the second person, as I couldn't edit the notifications box. I think the reminder task takes this value from the initial recurring email task, and I really do no want to reset that task from scratch.
Best of luck in case you decide to test it :)
Hi @Paula_978
That’s good to know, and thanks calling out the notification thing.
So just to clarify things for myself:
if I schedule a reminder on the 10 Sep recurring email task, this will update all the reminders that have already been scheduled from 11 Sep onwards
if I schedule a reminder on the 15 Sep recurring email task, this will update all the reminders that have already been scheduled from 16 Sep onwards
Is this accurate?
This is how I’ve set mine up. The daily invite only goes to those who haven’t been invited yet. Then I clicked the 3 dots on that invite to set up each reminder separately: one for 2 days after invite, one for 5 days after, and one for 8 days after.

Not sure I understand what you mean, but my tentative answer is ‘yes’ to both questions.
If you schedule a reminder on the 10 Sep recurring email task (today is 9 September, so the 10 Sep task is scheduled but not yet triggered), this is how you ‘initiate’ the reminder to automatically trigger on all future recurring email tasks. You set it up once, and you don't need to touch it again. The first reminder will be sent on the 10 + x days of Sep, where x is whatever delay you want to implement. For me, I set it up on 1 Sep with a 7 days delay. So, my first reminder was sent out 8 Sep, and from the 1 Sep to the 8 Sep I could see the scheduled task, and see the audience size for that reminder.
If you set the reminder for the 15 Sep, than it will start triggering after that, so it will get sent on the 15 + x days of Sep. What I am not so clear about is this: if you are in the same project, and you already set up your reminder on the 10 Sep, there is no need to set up another reminder for the 15 of Sep.
If you mean you want 2 reminders for the same invite, than you need to set them both up on the 10 Sep recurring email task. The first reminder will have an x day delay, and the 2nd reminder will have a y day delay, like @EmmaOGC explains.
I managed to get the notifications working as desired. This is what I did:
I edited the recurring email task scheduled for the future to have the desired notification recipients.
After that, I set up the reminder. Because I setup the reminder after editing the recurring email task, it automatically picked up the same recipients that I modified in step 1.
In hindsight, it wasn't that complicated.

Would both these reminders be in the same project?
@EmmaOGC 's answer is very clear I think. You click on the scheduled future recurring email task, on the 3 dots, and schedule a reminder. (or more than one if you need to) The reminders will then be triggered on all future recurring email tasks.
