SSO and usernames

I am a brand administrator for Qualtrics at a university.  We have had Qualtrics since 2011 and it is available for any student, faculty or staff to self enroll using SSO.  Our SSO has been set up to use email address as the user name.  Our problem is that our university also recycles email addresses, so user names in Qualtrics might map to more than one person in our data system.  I would like to change the user name for new Qualtrics accounts to something that would be unique for each individual, but would that ‘break’ the SSO for users with existing Qualtrics accounts?

Hi do you have were you can lock the users account after they leave the university?  We have locked accounts the day they leave and then it moves to be marked deleted after sometime.  We don’t delete our accounts.  

We also have the student, faculty, and staff to self enroll but we use the first.last name then instead of the rest of email we use the brand like #ndstate for our users but that might because of the 11 universities system and our account is part of the university system even though we each handle our accounts different.

Our university would use middle initial or a number behind the name if there is more than one person with the same name maybe that is what you can do.

We don’t have a system in place for cleaning up accounts after users leave the university.  That is something I am working on implementing.  However, because of the way we have used emails and usernames, when I pull a list of all users, it is hard to match them up with university records to see if they are still with the university because of the duplicate emails.  We currently have 5259 users and 4606 are active, although I know many of those individuals are no longer at the university.

Our university gives everyone a unique userID (that is never recycled) and an email address in the form userID@university.edu. Users are allowed to create their own custom alias for their university email address and can change it at any time, e.g. liz.smith@university.edu and elizabeth.smith@university.edu could both be public aliases (at different times) for the private address jcsmit1@university.edu.

Our SSO portal asks users to enter their userID and password, not their custom email address, and it returns userID@university.edu as the unique ID for each Qualtrics user, so we don’t have a problem with account mapping even if the user changes their custom university email address or reuses a custom email that used to belong to someone else.

If you have a similar set up and you switched your SSO to send Qualtrics userID@university.edu instead of first.last@university.edu, I think that yes, it would break the connection with the existing linked account. Users who have Qualtrics passwords would be able to re-link their own accounts, but for the rest of them, you might need to contact Qualtrics tech support and see whether they would be able to do some kind of bulk accountID change on their end.
