Trying to setup course evaluations using one survey per collage

I need a backup plan in case we cannot get the Course evaluation package in time for the Fall evaluations.

The University would like to use only one survey per college.

I have tried setting up Embedded Data in the survey flow and added the information into a panel that part works but when I said that I have three classes so I added my name three times and put the course information into the panel.  I got the email invite and reminders correctly but the problem is that I cannot respond to the evaluations after I filled out the first evaluation.

The university wants to be able to see which students responded to surveys, be able send reminders, use the anonymize responses, and Invitation only.

They keep thinking that loop and merge is a way to go but how do you get the list of courses for the fields from the panel?

If you are using the mailer each student/course combo gets a unique link. Each link is uniquely associated to a response. They can only use the link once. The multiple submissions option allows the student to be invited again and therefore get a new unique link, or, in your case, use the next one they have.

What behavior IS happening? From what you are describing I’d bet you need to turn off Prevent Multiple Submissions in the Survey Options> Security section.

I am getting “You have either already completed the survey or your session has expired.”

But if I turn off Prevent Multiple Submissions then the student could fill out an evaluation for the same class multi times.  How would I stop that from happening that they can fill out the same evaluation more than once?

Thank you!  You just solved my problem…. I found out that they could not click on the link again like I was worried about.

Check your embedded data to confirm that you are recording them as separate people - you want to make sure that you do not have Identity Resolution by email enabled for your panel as this will mean that when you upload a new list for a student it will overwrite the previous value for each course.

Because of this challenge, we have previously used Loop & Merge although it is more annoying to build your list and then analyse your results. We used multiple variables in our Embedded Data so we had course1, course2, course3, course4 and then we configured that in our survey to display the questions for each course.

If you are not using identity resolution on your directory, then you will be able to use the solution above but I just wanted to flag it in case you come across that problem (like I did while waiting for Qualtrics Course Evaluations at our university) 😊

Good point, @ashleigh_quaill . If you are using Directory with Identity Resolution you can, and probably should, be entering their individual courses as transaction data

@ashleigh_quaill When you did the loop & Merge can you show me how that was setup because the department that will be doing the dashboards for the reports mention it but I could not figure it out how to get the courses to loop from the embedded data.

If we do the loop & merge does that mean that the student would have to fill out all their course evals the same time?

Anything would be better than me creating over 2000 course evals surveys each semester which I have for about 10 years.

I am trying to figure out how to use the loop and merge in the course setup.  I cannot figure it out..How can I get the loop stop if they only have 2 courses but yet keep going if they have 6 courses?  I tested the setup with only three courses and it have three blank surveys…..I figured out the instructor part was not right in the panel so that is why it didn’t show up in the question.  when I took the question 1 screenshot I checked to make sure that I deleted all the test data and made sure that I published the survey then the loop and merge worked but it keeps looping until 6 but I need it to loop only when there is data.

Here is what the question one looks like when I click on the link for the survey.
