Qualtrics has really taken off at our Pre-K through 12th grade district! 

We use it for: state testing accommodation entries, staff walk-through recordings for mentors/instructional coaches, Head Start enrollment/application, Special Education staffing, all of our Alcohol and Other Drug related surveys and mentoring, staff/student/family climate surveys, HR substitute satisfaction feedback, School Resource Officer infraction tracking, school level social and emotional checks, HR Resign/retire form, HR Exit survey, Charter virtual school enrollment form, Proposal feedback (summer school course offerings), counselor feedback, District “Voice” feedback, Assessment entry (SIR, TFI), belief/exit surveys, Fee forms, New teacher feedback, School Administrator Self-Review, Dress code violations, Behavior Infraction (like SWIS), and MORE!

 

Just about everything mentioned above has taken a paper-based practice and turned it electronic.  Or it has allowed us to gather information we weren’t even sure how to approach in the past.  We have about 11,500 students and 1,400 staff members with over 23 buildings; Qualtrics has helped us organize multi-staff/multi-building needs into one place.  Each project has created huge time savers for us.

 

A favorite feature in our district would Workflows.  As simple as it sounds, it again can save us so much time to have the automations in place and the comfort in knowing that those who need the information will receive it when they need it without that extra step of sharing from someone.


We have recently started using Qualtrics and have already sent out 2 surveys within the last month of using it. I love all the features available and love how easy it is to use.

We, the Maryland School Mental Health Response Program, use Qualtrics to track our encounters with all of the LEAs across MD. We also use Qualtrics for feedback from all of our encounters, from professional development, to complex case consultation. The data is used to progress monitor, trend analysis, and future planning.

We have used Qualtrics extensively over the years for a variety of efforts, but a current project is outside user group facility requests.  The process will replace a cumbersome paper process.  The user group fills out their request and then finance and site approval takes place along with cost estimates that are in turn shared with the outside user groups before confirmation.  Then we tie it together with Google Sheets and AutoCrat to create the agreement forms that are emailed for signature and a centralized data sheet of all of the requests.  We have a lot of groups use our school gyms, fields, and other large spaces when school is not in session.  This process will enable us to be more efficient and will be a cost savings as accurate estimates of billing will occur.  Shoutout to one of our staff (Laurie) who has collaborated with Finance to get all of the pieces and testing completed.

We have started with surveys and have been loving it. Our surveys look so much more professional and also can do so much more than before we had Qualtrics. We are hoping to expand our knowledge and skills to be able to use Qualtrics to create some impactful dashboards for our stakeholders.

Our district uses Qualtrics extensively for a variety of purposes. There are three main ways we utilize it:

  • Traditional surveys, such as our annual SEAD student survey and graduating senior survey
  • Forms to replace processes that were previously done on paper, including our address/phone number change request form for HR and our social service referral form for the Social Work department
  • What we call “data collection systems”, where we are essentially are using Qualtrics to create a database with an accompanying dashboard. Examples include our tutoring data collection and our budget request workflow

I like to think that we are on the verge of Qualtrics being ubiquitous across Franklin Public Schools (WI).

We have used used Text iQ and Transcribed Video Questions in some of above surveys.

There are some areas in which I would love to see us expand our use of Qualtrics in the next couple of years including public facing dashboards based on our coherence plan, “ask a question” from our website, employee onboarding and offboarding and some in-district help desk tickets.
