  • What is your role in your district?

My role is twofold, I work as the Qualtrics lead, but I am also an instructional leader in which I build online content, support and administer online teachers, and support all schools and departments within our school system with data reporting and workflows on various projects.

  • What are your favorite use cases for Qualtrics in your district?

It is hard to pick a favorite, but we are currently using it for IPG (Instructional Practice Guide) walkthroughs in which admin and coaches can gauge and support teachers as they go through the school year before they receive their state mandated evaluations. Another one we are currently using is behavior major and minor submissions in which teachers can submit a behavior ticket for a student in which the parents receive an email on minors and the admin team receives the communication on majors. We are using retake links within this tool to edit the behaviors for admins. 

  • What changes or improvements have you driven through your XM program?

The changes we have implemented are workflow and data reporting throughout multiple departments within our school system. We started our Qualtrics journey one year ago, we currently use it for 20 projects, not counting a basic survey response. We used it to create a competitive physical activity leaderboard in which the employees of the school system could enter activities and represent their school or department in a public facing dashboard. Other things we have used it for are behavior, homeless reporting, certification exam registration, bus ticketing system(future), HR intake information, Civics exam, and ready grad dashboard to name a few.

 

We have added a couple of other projects: A district-wide field trip approval process and a couple of referral workflows and forms for the PEP program. This program supports students in need through the food backpack program and other items on a need basis.

Thanks for sharing your work, Adam!  We have been using Qualtrics for behavior but on a trial basis modeled after PBIS SWIS.  Most of our schools enter in SWIS, but we had one school pilot entering in Qualtrics.

 

Do you view building level data mostly or do you review district level also?  Our main concern right now, is of course each of our buildings (20 sites, about 12K students) can view and make change at their own site, but we also want to view district wide, so consistency is important to us.

 

Is it working well for you to have staff enter in their own name (do you have guidelines: Last Name then First Name, First then Last, etc.)?  We currently use display logic so that when a building would be selected, the staff for that building populate in a drop down, but then that leads to staff review each year with turnover/changes.  When we have the name as a drop down, then we have been able to use that in a dashboard later, but not sure if the maintenance of it is worth it always.

 

Do you maintain the Qualtrics side of things or do you have any designated staff at each site that also know a bit about Qualtrics?

@MeganZich Our school district (21 schools, ~12,500 students) uses components of the PBIS SWIS program. We're currently revamping our behavior management approach to ensure consistency across schools.

We've been using Qualtrics for a year now. While I handle most of the oversight and creation for now, schools are allowing educators to enter behavior data directly. As we develop additional behavior RTI components, some data collection responsibilities will shift to school-level behavior teams.

Data Analysis: We analyze data at both the building level and district-wide, looking at trends by grade bands and other factors. We're also implementing a similar ticketing system for bus conduct starting this fall.

Populating Teacher Information: For user login, I considered using teacher email addresses with double authentication. However, this seemed unnecessary for now, and I wanted to avoid requiring annual teacher information reviews at the school level. Additionally, I avoided using student SIS data to assign schools due to potential transfer-related data lags.

Administrator Access: We leverage role-based dashboards for admin teams. They're the only ones who can see and use retake links for follow-up, corrections, etc. We also reset minor behavior counts at the end of each semester.
