Tips for Running a Moderated Focus Group – Anyone Done This

Hi Qualtrics Community! 👋

I'm looking for advice from anyone who has experience running moderated focus groups for user testing with the Qualtrics platform.

We're planning to run a session with a set participant group and would love to hear from others who have done something similar - particularly around best practices for setup, facilitation, and getting the most out of the experience.

Any tips, templates, or lessons learned would be greatly appreciated. Thanks in advance :)

First and foremost, you'll want to make sure your scheduling is locked down. Head over to the Interview Setup tab to configure your moderator availability, because if that isn't set up, respondents won't be able to book any slots.

  • Interview Setup: This is where you handle general interview settings, availability, and adding any extra moderators.

  • Survey: The actual survey sent to respondents. By default, it includes an Interview Selector question so they can pick a time.

  • Distributions: Use this to send out your survey. Once it's in their hands, they can start scheduling.

  • Bookings: Your main hub for managing everything that gets scheduled. You can flip between a list or calendar view, filter by moderator, and use the three-dots action menu to copy Zoom host/guest links, reschedule, or cancel sessions. Just keep in mind it can take a few minutes for a new booking to pop up after a respondent submits.

  • Data & Analysis: Where you go to review responses and access session recordings.
