Hello, 

I currently have an email workflow set up for when a survey is completed. There are four people in the “To” line and one person in the “cc” line. Currently when a survey is complete, all 4 people receive a separate email, and the person that was cc’d receives 4 emails (one to each of the “To” recipients, cc’d on all 4). 

So my question is, is there a way for the emails to not be sent separately, but instead for all people in the “To” line to be on the same email? This would allow all of the “To” recipients to see who all received the email and would decrease the number of emails the person in the “cc” line is receiving. 

I am new to Qualtrics workflows, so I may be missing something and greatly appreciate any insight. 

Hi @WoJo , yes, you can send to multiple email addresses by setting the emails separated by commas. You can list up to 30 emails here.

 

But you can CC or BCC only one email. For more information, please refer below link.

You could try just putting all of the email addresses in the cc line, and have a generic email in the “to” line. This would allow one email to go out, with all 5 other email addresses cc’d (and visible) on the same email. 

For the “to” email, you could use your email and have the emails deleted or filtered in your inbox (so they don’t clog things up for you). I also typically work with programs that have a group or support email that I’ve used for purposes like these -- something along the lines of qualtrics_support@emaildomain.com. You could try a “no reply” email in the “to” but that might not go through and end up throwing you an error.

@WoJo  Another approach could be to send the email to a shared inbox that can auto forward the email to the team members. Copied from here.

A workaround that I've used before is to set up the Workflow's Email Task with a specific subject line. Have the workflow email get sent to yours or a shared inbox that you can create rules for. If your organization uses Microsoft Outlook, set the rule's condition as the email's subject line includes the subject line from the workflow, and the action being to forward that email to the members of the group. The forwarded email contains each email address in the "To" field and included when any select Reply All

No solutions. Qualtrics thinks this is how email should behave, despite it being completely asinine and counterintuitive to every email platform. I submitted a request for the feature through Evolve a few months back, but it’s probably never going to happen.

Whenever they don't have a solution, they suggest submitting a new feature request. However, as you mentioned, it's unlikely to happen!
