Workflows allow you to do many things such as creating tickets to deliver key insights into case management systems for teachers, advisors, and staff.

 

Workflows

Before you begin setting up workflows and creating xFlow processes, think about the following ideas:

  • What specific, repetitive processes should your organization automate?
  • Who will be responsible for taking action after the workflow task is generated?
  • Who should be notified when a workflow is completed? And who has access to the workflows?
  • Who will be responsible for testing, troubleshooting, and maintaining the workflow?

Automated Workflows

  • Workflows allow you to trigger tasks based on various events. 
  • Examples include creating a ticket when someone opts-out of your XM Directory, sending a follow-up email to a student/staff member/etc after a low satisfaction score. For both the inciting event and the resulting task, you have a lot of options, most of which are inside the Qualtrics platform and some of which are outside.
  • You can create workflows in two different places: in the Workflows tab of a project or in the the stand-alone Workflows page.
  • To create automated workflows, view this support page which shows how to schedule workflows, how to create event-based workflows, or how to manually schedule workflows.
  • Some examples of tasks triggered by workflows could include: Reminders for professors/students to complete surveys (great for course evaluations!) Or for negative results - triggering actions such as sending professors feedback based on student feedback!

We are new to Qualtrics and I would love to hear how post-secondary institutions are utilizing workflows.  Some ideas we have discussed at Nova Scotia Community College are collecting feedback on the library, tutoring services, and the cafeteria to start.  We are a large college with 14 campuses across the province so we would need to gather feedback at each site and make sure the workflow goes to the correct campus person.  We are thinking we would start with a pilot campus.

Hi @SlyNick,

 

One interesting use of workflows in your case should be to implement textiQ in your survey to triggers email alerts based on keyword in the responses like hygienic issue at the cafeteria.

Of course this kind of workflow is interesting if you survey in real-time (with a QR code on cafeteria trays for example) and you trigger alerts on issue that deserve an immediate action.

 

Another frequent use case is to follow up with respondents about specific dissatisfaction in the survey. For example, if someone gives very bad scores regarding the tutoring services, you may want to offer this person an appointment or a call with a coordinator.

 

Quite everything is possible with workflows. Do not limit your imagination !

@SlyNick Here at NDSU (North Dakota State University) use Qualtrics for forms on the website, ordering computers, ordering software for the department computers - we use workflows to send the information to their ticketing software, research and feedback from for positions prestation. Some performance reviews and Applications to the difference colleges within the college.

Different Qualtrics CX is used for course evaluations.

I am the only one that is Specialist or their words Expert on campus to support all our 4,000 users.  

Workflows are a must for most of the surveys on campus to send the information to the right people but few things to think about make sure name the workflows, try to keep surveys and workflows under the same owner because it be a mess when trying to transfer the survey to a new owner.  The person that starts the workflow is the owner of the workflow just like the surveys unless you transfer them to other users.
