Hello!

I have a request to create a survey that is anonymous, and that allows me to share live dashboards with restricted visibility with stakeholders. 

So far, what I have come up with is this: creating an engagement survey and instead of using customized links, using the anonymous link. I would also not import any participants as respondents in this project. This way I can import the stakeholders as non-respondents, assign roles and share dashboards.

Would you say there are drawbacks to using this solution?

Another possibility is to use an anonymous survey: I am aware in anonymous surveys it is also possible to create live dashboards in the Results tab. However, those are difficult to share with a wider audience (I'd need to use a password protected link which doesn't seem very secure as per: https://www.qualtrics.com/support/survey-platform/reports-module/results-dashboards/results-dashboards-settings/manage-public-results-dashboards/), and it is impossible to restrict data access for different users in this solution.

Do you have any thoughts on the security of these public Results tabs? What has your experience been?

In an ideal world, I would also be able to add a question with an org hierarchy structure, i.e. when asking participants which country they are from, they could select it via a hierarchy comprised of countries nested within regions.

Does anybody have experience or an idea about how to do this?

how is the security requirement for your survey? Do you have SSO configured and should only those be able to participate which can logon to the organization? 

I see two options. 

Option 1 (already described by you)

  • Do not upload any participants to the project
  • Share the anonymous link via some non-Qualtrics channel
  • Add some questions to get insights on the participants (e.g. gender or org hierarchy question to get information on departments...) 

❌ You can not invite via Qualtrics but need to handle it differently (e.g. organization’s email service or QR codes published on posters and shared on-site in the offices)

❌ Anyone can take the survey which is critical because the results could be verfälscht

❌ You can not avoid that someone takes the survey more than once as the check based on cookies is not secure (employees could just open the link in another browser or delete cookies), dadadurch können die Ergebnisse ebenfalls beeinflusst werden

❌ Die Metadaten (z.B. Geschlecht oder Orghierarchie) welche den Antworten zugeordnet werden basieren auf einer manuellen Abfrage, welche verfälscht werden kann

Option 2

  • Add all participants to the participant list
  • Add some (SSO) authenticator in the survey flow
  • Enable the pseudoanonymization feature or “clear” the embedded data fields containing personal information via workflow and API

✅ The anonymous survey link can be sent via the regular “Invite” message of the Qualtrics survey project

✅ By adding a (SSO) authenticator element in the survey flow only those persons can start the survey which can login to the organization

✅ The SSO identifies the contact which means that its metadata is populated to the response. However, with the pseudoanonymization activated, personal data is removed from the responses (only include those fields in the pseudoanonymization configuration which really contain personal data)

✅ With the authenticator’s “Associate respondent with person by field”  option you can check against the participant list to secure that the survey can only be taken once per participant (independent of any cookies)

happy to assist. Please spend some time with checking the pseudoanonymization feature as it is some central configuration. I used the described setup successfully in my projects. Let me know if you have any further questions.
