XM Directory

Hi all - looking for some guidance around adding new transactional fields to the directory via workflows. For context, our team has transitioned from import automations to workflows. The workflow is triggered daily at a specific time, extracts data from SFTP, adds the transaction to the directory, and then distributes a survey to the transaction. The challenge that we are facing is that it is no longer simple to add new fields to the transaction. Historically, we were able to map a new template to the import automation and add the corresponding fields into the survey flow. It seems that now we need to map this 3 times… once in the SFTP import template, once by adding a new field in the directory, and once on the step to add the transaction to the directory.To add the field to the directory, I have to select a contact and assign a value. I cannot leave the value field blank, otherwise I see this error in the transaction step of the workflow. Hi everyone, I read through some previous posts, some are a bit dated >5 years and others a bit too narrow. My goal is to build a new panel using Qualtrics Audience Management. We’ve decided to use a create a new directory to keep the panel isolated from current directory (which are mostly transactional surveys). As I understand the high level steps involved in establishing a panel, it would involve: Create new directory  Configure panel using Audience Management widget Upload a list to new directory Add a research project (survey) - include opt-in question at end of survey (Alternate to 4) - use pre-configured sign up survey in Audience Management Configure workflow to use embedded data field (“Yes, I agree to join panel...”) Send a welcome questionnaire for joining the panel via workflow  Start engaging opted in panel members in research activitiesIs that generally the steps? Hi,I've set up an XM Directory Automation for importing contacts (= calls to our hotline) and distributing a transactional feedback survey.The date / time of the customer interaction (call to the hotline) gets imported into the XM Directory as "Transaction Date".I now would like to use the date of the transaction in the survey flow / survey text. For example: "Thanks for calling our service hotline on 23-07-2022!"Is there a way to access the 'Transaction Date' in the survey? I guess I have to set it up as Embedded Data?And if so, is there a way to only use the day (and not the entire time stamp including the time)?Thanks!Manfred

Hi there - I’m doing a research survey that participants should answer only on days that they are working, presumably M-F. I also want them to only answer this for 10 workdays.Whether or not the previous survey was completed, I want them to receive a daily nudge (on workdays) to do that current day’s survey.Each daily survey is the same (same link to the same survey). I am collecting their email address, so sending out the email and embedding the survey link is the easy part. Yet I can’t figure out how to set this up so that they get an email reminder regardless if they have completed the previous day’s survey or not, how I make sure it only goes out 10 times, and how to ensure it goes out on weekdays only.People will be starting the survey on different dates, so I can’t just schedule using the calendar. Ideally, this will all be entirely automated, as I expect a few hundred people to do the survey and I’d rather not have a manual process to get each person up and running. Any ideas? Hi everyone,I'm trying to ensure that participants listen to an entire audio clip before they can proceed to the next question in my Qualtrics survey. Ideally, the "Next" button should remain hidden until the audio finishes playing. Hello XM community,Wondering if there is a feature to automatically collaborate when publishing a survey?We have a division setup and I’d like all surveys to be available to the division to save time on sharing each survey designed. Is this possible at all? Thanks,Tim

Hi. Wondering if anyone has had this issue before. I want to send a survey based on a Salesforce Report. I'm embedding a field from the report called "created_date" and it comes across as, for example "1/1/2025". I've tried using data transformation to have it read as "01/01/2025". The workflow says it's successful and I've also downloaded the transformation report and see no errors on it. As part of the workflow it adds the contacts and embedded to my mailing list.When I look at my mailing list, the new contacts are there, but the embedded date still has the 1/1/2025 format. Qualtrics doesn't seem to be able to read that format when I try to use it to sample my list from the XM Directory. If I remove the created_date restriction, it sends to the whole list. Otherwise, I get nothing.Any ideas? Support is looking at it but I've been working on this for about a week now and no luck yet.

Hello all, I have been looking for a while to see if it is possible to extract a contact list and load it to somewhere else. We have a need to load the contacts from a list to a separate data warehouse and the closest I have been able to find is to write use a web service to do so. Has anyone been able to accomplish this via workflows or extension?

Our emails opened rate is quiet low, what could be the reason, Is Qualtrics tracking it correctly? How is it tracked? How to increase this rate to have more response rate as well?

Hi, I’m new to the specific automation and I’m lost in how to get it right. My goal is to call an API of Qulatrics Files and put there a file every X hours.In the workflow I want it to check every X hours for a new file. Then transform the data (change the column header to the ones I need in Qualtrics). After that, create the distribution list and send the survey.  I’m not sure why I fail to get it right… I’d love for some guidance here please.I thought I will need something like this, but again - this is not working.Please if you can guide me through the steps it would be awsome.

We have some requirement which we are currently challenging: A contact should be deleted completelyThe responses of the deleted contact should not be deleted but only anonymizedIf possible we would like to define which contact data should be anonymized on the response and which data should be kept (e.g. keep information about the contact's city, however, delete/anonymize everything else like contact ID or name)At the end we will need to implement this with the corresponding API calls. Hi team, I’d like to create a segment in the directory to identify individuals whose transactional data shows that the contract number field has more than one value. I’ve had trouble using selectors to determine the count of transactional values, as it’s not about a specific value or pattern. For example, I have a user who has closed two contracts, meaning they have two transactional values in the #contract field: 398762673 and 462719012. There’s no consecutive numbering or clear sequence, which has made it difficult for me to create this segment.Does anyone have suggestions or a workaround for this?

Is there any way to pair down a segment by sampling or some other method? Based on the criteria, we have 175k people but I don’t want to survey all of them. Any thoughts on how to pull a smaller number? I need about 30k. 

I have a workflow which imports contacts, with a number of embedded data fields, daily through the Qualtrics File Service. It then uses an XM Directory task to add these contacts to a mailing list, and distribute the survey via email to each contact.This task uses individual links to send the survey. The survey will have some individuals who receive the email, but never complete the survey; in fact, some won’t even start the survey. In this case, for both individuals who have started but not finished the survey, and also for individuals who never even clicked the link in the email, I need a way to view the link that they received (effectively, a way to complete the survey for them). I was wondering if this is possible? Do I somehow have to switch over to using personal links, which isn’t even an option for XM Directory Tasks? or is there some functionality i’m missing. I thought of using Q_URL as an embedded data field, but this would only work for contacts who actually start the surve

Hello, During opt-out, we would like to achieve that the user clicks one single time on the Unsubscribe button and then sees a confirmation message that he is unsubscribed.The unsubscribe should be for the whole Directory and we would like to be able to customize both messages and not see the default Qualtrics message.Qualtrics Support stated that it is currently not possible to go around the 2 clicks for unsubscribing and suggested to request a new feature.I was wondering if someone else had the same issue and found a workaround.Thanks!

Hi everyone,I’m trying to send a survey using transactional data, but during testing, I’m only getting the embedded data, and the transactional data is coming up empty.Here’s the flow I’m following: I first bring in information using SFTP. Then, I load it using the "Add Contacts and Transactions to XMD" task. After they are loaded into the directory, if the contacts meet the criteria to enter one of the segments, I have another workflow that detects the change in segments, after this the workflow has a "Extract Contact Information from the Directory" task, and finally, an XM Directory task for distribution.Everything is working fine, except that the transactional data is not being displayed in the survey data, so I’m unable to use it. Can anyone help me troubleshoot and fix this workflow?Thank you!

Good morning,I have a request related to uploading data to Directory.Premise, I have set Identity Resolution based on email.When a contact with the same email is uploaded, this thing happens:- "full" embedded data values overwrite the embedded data values of the contact already existing in Directory- "empty" embedded data values do not overwrite "full" embedded data valuesExample: if I have a field "wife" valued as "Daniela", I can load a row with the same mail, with the field "wife" valued as "Laura", updating it.The problem, however, is that by loading a row with the same email with the "wife" field not valorized, the field is not "emptied" but remains "Daniela". Same thing if the field is filled with a "space".Do you know if there is any coding that allows a blank to be overwritten to a value? (e.g. /space, /na...)? Best,Carlo

I am looking for advice on best practices for managing XM Directory, especially with the recent updates. We recently encountered an issue, and we tried to remedied the issue by restricting access, but in doing so, I unintentionally blocked my researchers from accessing what they needed. Thankfully, I was able to restore access.I am considering a new approach; creating a global directory that everyone can access while leaving the default directory untouched. My idea is to limit visibility within the Global Directory so users won’t be able to see any email addresses unless they create their own directories.If anyone has experience with this or any suggestions on best practices on managing directories, I’d be grateful for your input!

I want to distribute an email with an approval form link to users who have been accepted for an award and attach a customized acceptance letter as an attachment or a link to that email, so that it shows the award amount which users request through the form, and their names into the letter. How do I do this with a contact directory or a csv file with user contacts, or any other way?

I'm currently working on a longitudinal survey for my thesis. I'm trying to make it so that answers from the first survey transfer to the second survey for the participant. Aka they can see what they answered the week before and make edits to this answer if they want to.Is there any way to do this?? Please help I dont understand qualtrics

Hello!We have an automatic process that creates users with an API so we don’t have to create them manually. But on top of creating the users, we need to add them to a role so only some specific users can have access to a custom directory. We already have the rol and so far we ave done that role enrollment manually. Is it possible to do that process automatically? like automatically adding specific user types to the role? or maybe another step on the API.Thanks!
