Employee Lifecycle

Hi,I would like to know if there is a way to export the survey responses in an automated way via an API call. We do this for CX survey responses and distributions but is this also possible within EX? Specifically for a lifecycle or an engagement survey where i want to transfer the results into our HR reporting tool. Bart

Hello XM community,I’m looking for guidance on how to build a workaround since EX lifecycle surveys do not allow an “OR” function on the criteria for participant import. We have employee lifecycle surveys set up, however some countries have different criteria than others -- for example, one country wants only employees from a certain work location to receive the surveys. In an ideal world, I’d have my participant import set up with multiple “OR” statements to account for these country differences:IF Country IS IN Japan, United States, ChinaOR IF Country IS IN India AND Work Location IS IN Madurai Does anyone have an idea how I can solve for this? Maybe there is a way to create a metadata field in the Employee Directory? Or set up some other workflow? Thanks in advance!

Hi,I have a question on how Qualtrics treats “empty” values for embedded data fields with the EX participant import automation in lifecycle projects.Use case is as follows - onboarding survey, participants are pulled in based on “entry date” value (date = 30 days before today) on a daily basis. Now what we want:If the departure date is before today, then do not add to the survey (in case someone leaves the company within the first month or first 5 months). And possibly also: If the departure is not less than 14 days in the future, then send out a survey (so that employees who are about to leave do not receive an onboarding survey, as they will soon receive an exit survey). Unfortunately, you cannot set a negative condition, right? But if we enter 'less than' instead of 'more than', how will empty departure fields be treated? Would they still be added to the survey (empty = further in the future) or would they not meet the condition?Anybody enco

I have a field "Hire Date" in my data and now wanted to classify "tenure range" based on the hire date filed for example: less than year, 2-5 years. Any suggestions if the formulas are applicable in dashboards? How to achieve this?

Hello Experts, I wanted to calculate tenure from hire date in employee lifecycle project. I have 25 responses for now which needs to be updated. Also, would like to group them like less than a year, 1 to 2 years, 3 to 4 years etc. Please can anyone help with this issue.  Thank you!

After turning on the participant import automation for 2 lifecycle projects last week, there are still no participants being loaded into the project.  I have tried matching the criteria with the directory and ensured that it should be pulling results and the scheduled invitations are “sending” but to no participants because no one is loaded into the project. Has anyone else run into this issue or have any suggestions for things to check?Been disappointed we haven’t reached a resolution sooner, so hoping someone can help!

Hello! New EX user here.We are creating an employee suggestion box (the project type is: Survey), to post on our company intranet. Employees will authenticate via SSO in order to leave their confidential feedback.The SSO authenticator works, and it captures the respondent email address. We ideally would like to connect the response to other employee metadata from our Employee Directory (e.g., country, department, etc.), but I cannot seem to find an option for doing so.  I don’t see an option in the authentication step of the survey flow for doing this. “Associate respondent with panel” doesn’t appear to be relevant, but please let me know if I’m mistaken. I’m open to any and all ideas for how to make that connection, from different survey types to custom workflows or other suggestions. We have historically received a high volume of feedback through our suggestion box and would love to bring that into Qualtrics.

I have created a new user - brand administrator account - and am trying to add them to a project (Employee Lifecycle) as a participant. I have confirmed that the account I created is valid, active, exists, etc. - when I search to add it manually - it doesn’t appear.  No matter what I do, I cannot locate the account to add it to any of our active projects.  The user needs to be able to be added to a specific project as a participant, then roles changed so they can view certain dashboards for the project.Can anyone explain what I am doing wrong.  I have never had this issue in the past, administer accounts for our organization and have never had an issue.  I have searched through countless articles and feel like I’ve exhausted every option I know to try.Thank you in advance. 

Hi,We created the exit feedback from the guided template thinking that the dashboard will populate automatically. However we have no clue if someone has gone and deleted the dashboard by mistake or while created we copied the project and not created from scratch. Now we are in place there is no template to populate the dashboard. We are new to Qualtrics hence not good with dashboard building yet. Is there a way we can import the template to the current project? As we do not want to create the project from scratch as all the API and everything has set up with the help of the consultant.

Dear all,My customer’s need is double:to send a (check-in) survey to a manager as many times a new report starts to work with her/him. to send the survey automatically on a regular basis, after 30, 60, 90 days from the new report’s hire date.Is the hierarchies feature - Employee Engagement projects - needed to address at least the first point or is there an alternative within Lifecycle projects?Is there any solution you might advice me for to address the second point? Thanks and regards,Pietro. 

Hello, I have a partner who would like to send an SMS reminder in their lifecycle survey after an initial email invitation. I saw a community discussion from about 4 years ago asking about this same topic with a response at the time stating that at the time there this was not possible.  In the past 4 years has this enhancement been made or is it still not possible to change distribution method between linked invitations/reminders?

I’m a brand admin and under the same brand I have a few lifecycle projects. The client wants to anonymized answers only for one of them - Exit survey.Is it possible to do so? I can’t find such option in the Admin tab

Hi, we are new to Employee Lifecycle and have set up simple Pulse surveys for designated lists of participants. We want to be able to re-pulse those same participants over time and record the progress of their scores against a timeline. So far have tried to include a month field in the survey itself to distinguish the Reponses but in testing the most recent response overrode the one before. I’m sure people are doing this successfully -  what's the trick? 

Ran into a major issue with my lifecycle surveys this week. I have added metadata fields in the past to employees by utilizing a .CSV with First Name, Last Name, User Name, email and the metadata fields as needs for my dashboard users have changed (adding new business area tags, rehire/new hire fields etc). Last week, I updated our New Hire survey’s date fields (original hire date and latest hire date) as some of our older data did not have the proper format (many were missing the leading zeros which was causing problems with a workflow calculation we use to identify rehires). This week, our system attempted to send a message to ALL of the employees who I had updated metadata in the participant file. When I uploaded my .CSV, the system showed that it had parsed 20k employees, but had not added anyone. I am not sure why their invitation status reset, but Qualtrics is treating them as new participants even though they have all received an invitation and almost all of them already had

I am creating an exit survey and need to filter FOR 18 employee term reasons OR exclude over 20 employee term reasons PLUS I need to exclude temps, contractors and interns, certain pay groups and make sure the term date is within a designated time period. I cannot figure out how to combine filters (I tried “AND” and commas) on a single line in the automatic feed for the participant file. I need a way to filter for or exclude multiple codes of a single metadata field so I do not run afoul of the 20 filters rule. Is there a way to make this happen or do I need to generate a workflow that filters for these and creates a new metadata field to filter for? Any advice or information is appreciated. 

Hi I would like to have a table with the participants information in the dashboard, information like name, last name, email and so.i would also like to know if it is possible to have there the information of the users that have not reply. This is an EX proyect 

I am trying to figure out how to give a singular user group the access to view the dashboard tab but not the data & analysis tab. We want to retain anonymity for our employees, but we need a higher level of reporting/dashboards for our HR Personnel.

Hello! In my survey I allow users to give multiple responses (by changing specific field in Metadata). But when I create a Response Rate Table, I get in “Invited” column not how many times they could have possibly answered, but the number of unique users. Because of that Response rate is more than 100%. How do I get the correct response rate?I use lifecycle survey, so there are no custom metrics. In here it says that I need to “ to update the invited count”. If that’s the solution, than how do I do it? Please helpQtip: When using an 

Do SMS distributions for Lifecycle surveys have the capability to have metadata attached?  Or are they an open link type survey?

Does anyone else seem to get a spinning wheel every time they go to send a new message in Lifecycle projects?  I get a spinning wheel that lasts a very long time and refreshing does nothing.  Just curious if this is a common issue with the new distributions for lifecycle.

Hi all, We are working on building out a dashboard for some of our lifecycle surveys. Our stakeholders would like to have recurring updates of the data.Is there a way to automate the reports that are in the lifecycle project, similar to the functionality in this article: Scheduled Results-Reports Emails (qualtrics.com). This article shows that it is possible for every other XM product, except people. Even if we’re able to automate dashboard invites, with a link to the report template. Something that will ease the administrative burden of sending a report every week for multiple projects.  Thank you in advance!  

Hello!Would anyone know why I am not able to recode a field in an EX dashboard? According to the page linked below, I should be able to import labels for any field that is a Text Set, Multi-Answer Text Set, and Number Set. I can access the labels, and recode them manually, but I don't have the option to import labels via a csv file. Hi everybody,  I was wondering if anyone has running Lifecycle projects and merges these results in a Dashboard for Engagement Survye?  We would like to try that for our company, so was wondering if there are some tips for that? I am especially interested in metadata of participants from Lifecycle being picked up in the Org Hierarchy of the Engagement Project.  Thank you Livia
