How does Qualtrics determine whether a workflow trigger fires once or multiple times for a single response, and what internal response states influence this behavior?

Has anyone incorporated the new email survey workflow with Zendesk and saving it as a transaction? I know the task within the “template” is being depreciated, but whenever I try to add a contact/transaction to the XM Directory from a Zendesk event, I get blocked with the message that a data task hasn’t been set up yet.We had been saving ticket fields through Embedded data but I think we need to move to Transactions since embedded data is being over-written with multiple tickets. It is becoming more common where a user can have multiple tickets can be resolved same day and we need to pivot to Transaction to avoid data confusion.  If I set up the “Send an email task” from the Zendesk trigger, I think I will be forced into using Embedded data and continue to have the same issue as above.

We're not getting much insight from support into solving our Zendesk use case problem other than "its Zendesk problem" but I have a hard time believing that what we're doing is an edge case. We are using the workflow template but the final task isn't letting us update a ticket if we are not updating fields that are required on the ticket itself. The fields that cause the error are fields are required to close, therefore are populated before our distribution trigger kicks-off. They are also dropdowns in Zendesk but the task doesn’t let us just pipe the selection that came in with the task back to the case to update the field we want to. We’re just trying to add a tag that a survey was sent so we don’t erroneously send surveys if the ticket is reopened or updated in Zendesk after the survey is distributed. Has anyone else seen this or found ways to accomplish this with the Zendesk extension. How are workflow branches evaluated when multiple conditions are true, and what design pattern should be used to enforce exclusive execution?

Has anyone found a way to automate updating a contact list (adding or removing contacts) based on changes that occur in a Directory? For example, we have an API running that adds new students as they enroll, and we would like to keep a contact list up to date with those new students included in a way that avoids manually updating it. We don’t want to keep an external file updated and use Google Drive or an SFTP, since we already use API to keep our Directory up to date with our Student Information System. 

After modifying survey logic, my workflow started missing some responses. Is there a delay or re-evaluation step after survey edits?

A workflow using survey conditions is delayed sometimes. Does Qualtrics ever queue these triggers?

Hi,I am receiving the following error while trying to integrate SuccessFactors (SSFF) with Qualtrics. I have already checked the credentials, and they are correct. I also contacted Qualtrics support, and they confirmed that the error is coming directly from SuccessFactors.I have opened a ticket with Qualtrics, but I am working with a tight deadline, so I wanted to check with you as well.Has anyone encountered this specific error before? Is there a way to trigger a workflow when there is a change in directory attributes “Number of Surveys Completed” and “Date Most Recent Survey Completed”? We want this data to sync to Salesforce each time any survey is completed.

I have a contact list with a series of embedded date fields (DA01_Date, DA02_Date, DA03_Date… DA14_Date). I am trying to create workflows that send SMS survey invitations to contacts on their scheduled dates. For example, I want to create a scheduled daily workflow that sends an SMS invitation to Survey1 to all contacts where DA01_Date = today’s date. (Note that this would not be triggered by a previous survey response. It’s just send survey X to a person on their assigned DA01_Date.) I am surprised by how difficult this seems to be via workflows. In many cases as I’m trying to work this out, the issue that I run into is: How can I use my own directory data as the data source for a task? What am I missing? How would you set this up?

It is mentioned in Qualtrics documentation that topic detection supports English, French, German, Spanish, Portuguese, Japanese, Italian, and Dutch. I understand that some languages are supported for sentiment analysis which Text iQ outputs based on machine learning. But for topic detection, this is a rules based system that requires identifying the specific words/phrases that should trigger a topic to be tagged.We are looking to have a workflow that is triggered when a verbatim mentions certain words. Because this survey is deployed in several languages, we want the workflow to trigger if the word is mentioned in any of those languages. I am aware of the Translate Comments feature, but that is not available to use for workflows.Is it expected that we manually configure our topic tagging rules to include English and non-English words? Or is there some hidden feature that automatically does this (based on the highlighted documentation below)?

Hi,There is an Idea, EV-1728, called “Workflow task to update survey response (e.g. fill an embedded data in a survey response)”.The idea is labeled as “Capability exists”.Does someone know which workflow task can do this? I am looking for such a feature.I would like to update some Embedded Data fields of a survey response immediately after it was submitted.I know I can use the ED box in the survey flow, but my incomplete responses and imported responses don’t go through that, that’s why I want to use a workflow instead. 

Just noticed that when doing Salesforce integration via the new Workflow setup, in the list of the integrated SF accounts all of them  (sandbox and production ones) have “(migrated)” in the end. What does it mean? 

When editing a multiple choice question, the "edit multiple" is much faster to use than editing each option individually. In addition to being faster, the "edit multiple" allows me to edit things in a text editor, and it allows me to copy and paste easily from other sources. "Edit multiple" is pro-level. Unfortunately, Qualtrics takes "edit multiple" away if you've collected any responses for the questionnaire. Inexplicably, Qualtrics doesn't turn it back on even if you *copy* that survey into a new survey with 0 responses. Hi, is there a known bug in the “override end of survey” option in the survey flow?I’ve used it before so I know how to define it. I clicked on the “customize” option, I selected the message that I’d like to show, but when I hit “Save” I see that it ignored everything I had just defined (It also doesn’t show the little “v” next to “customize”). It’s like it closed the window without saving it.Help please?

Hello. I am a newbie to Qualtrics.I am making a survey with an experimental and a control condition. One of my measurements are political views, using a slider from 0 (left-leaning) to 100 (right-leaning). The slider also has a not applicable option.My question: Can I create a quota based off that variable? I would like a roughly similar distribution of political views in experimental and control group; so say have one group of <= 50 (left to centre) and >= 50 (centre to right), and distribute those equally over the treatments. I figured out how to do that by adding a branch, but the problem is the ‘not applicable’ option because I cannot select it as condition.I would like to have the <= 50 OR not applicable; as well as >= 50 OR not applicable option. But I do not know how to implement that. Removing the ‘not applicable’ option is unfortunately not an option.

Hello, I am attempting to send responses to a matrix table question to a Google Sheet using the Google Sheets workflow. When I export my survey responses, each matrix row appears in its own column as intended with the ImportID label. I am trying to replicate that format in the automated workflow.I have tried using many combinations of the following, most result in empty values or the question text instead:${q://QID/ChoiceGroup/SelectedAnswers}${q://QID/ChoiceGroup/SelectedAnswers/#}${q://ImportID/ChoiceGroup/SelectedAnswers}${q://ImportID/SelectedAnswers}I have also tried using SelectedChoices in place of SelectedAnswers.Apologies if I have missed a solution elsewhere, thank you!

Hi all, we have a lot of workflows that differ only in the priority. The priority is based on the NPS score. (The priority of dectractors is high, etc..).Is it possible to assign this via an embedded data variable? This would significantly reduce the number of workflows and thus the effort required when changes are necessary.I didn't find anything about this in the support pages or in the community.

Hi there, I built a workflow based on multiple Qualtrics webservice calls. Sometimes, the number of calls exceed the limits and the webservice task failed. I would like to identify this fail for making a condition after the task. I want to send participants three follow-up emails. Follow-up emails are based on a data entered by participants within an on boarding survey via a form field with a validated date entry (e.g., what date is your procedure? mm/dd/yyyy). I have captured this in survey flow as embedded data (e.g., procedure_date = answer) as I want to use this to set-up a workflow and send an automate e-mail to participants, but I'm hitting a snag. \I was thinking I could immediately pass that variable into a new embedded variable (e.g., follow_up_1_day) doing something like this ${date://OtherDate procedure_date +1D}, but it’s not working. When I export the data the follow_up_1_day field is blank. I’ve also tried formatting it first (e.g., ${date://OtherDate q://QID361/ChoiceTextEntryValue/4 MDY})  I’ve also tried doing something like this within js. Any help is appreciated!

Is there a secret code :) to put in a code task that will end the workflow if a specific criteria is or isn’t met? something like endWorkflow: true or false and it will actually not continue to the next tasks in the workflow? thanks ​@TomG  ​@Nam Nguyen 

I’m trying to load the current date into Contact list in Workflow. Hi there,I'm conducting a longitudinal survey where a participant will complete questionnaires at 5 timepoints. I've linked all the surveys together with embedded data.When the participant completes the first survey, their contact details and relevant embedded data are populated into XM Directory. Normally I would then create a workflow to schedule the next survey to be distributed to the respondent x days later, however this won't quite work for what I want to do.Participants are sent a link by their GP practice to take part in the survey - this is approximately one week before they are due to have an appointment with their doctor. As part of this survey, they're asked to provide the date of their upcoming GP appointment (this is done as a text response/content validation question and entered as dd/mm/yyyy).I need for the second survey to be distributed 7 days after the date respondents give in the survey. Hi everyone,My organisation has just launched a large survey and we're attempting to maximise our response rate by using both Email and SMS distributions. This has been easy enough, but I've noticed that the survey link generated in the email distributions are different to those in the SMS. Consequently, users receive two separate surveys.In itself this isn't a huge deal, but it will be a problem when we send out reminders to unfinished respondents. Users that will have completed the email survey will still receive a reminder via SMS, and vice versa for SMS completions.Does anybody have a solution so that one single survey link can be sent/tracked, and we can still send reminders to unfinished respondents?
