Workflow to attach Excel file of responses during a specific time

Hi, I'm working with a faculty member who wants a weekly email with an Excel file of the new records every Monday at noon. So basically she doesn't want all records, just the new records between Monday and Monday. It seems like a simple task, but I'm struggling with setting up the workflow. I did a specific time workflow and I get a PDF file of just the student first names. I was thinking I might have to create a report and then setup an email trigger to do this? I just need some direction on how to get started as all of my attempts have failed thus far. Thanks in advance for your help! Lauren

Send email to inputted response

Hello. I know there are email triggers for sending confirmation emails to participants after completing their survey. Is there a way to send a confirmation email to an address inputted into the survey?For example, a site supervisor (respondent) fills out the form and the student at that site gets a copy of the form for their records. The respondent would enter the student's email into a box that the survey would then send the confirmation to.

Incomplete Responses/Partially Filled Responses

We need to restrict incomplete responses to not sync in Salesforce. We are observing that the responses which were left in the middle is syncing in qualtrics with finshed(Survey Metadata) as False and upon in Salesforce. Could you please help us to do not sync incomplete/partially filled responses in Salesforce.

'Email Page' button

Hello, At the end of each of my blocks I have a summary page of the block's content. I would like to include a button at the bottom that participants can press to have the summary page emailed to them. Is this possible? I currently have a 'print page' button, but email would be better. This has to be available after each block, not at the end of the survey.Best,Ben

Using Tags to Trigger Workflow

Hello! I am looking to create an approval workflow for one of my forms. Instead of using retake links and using a trigger based off of a response to a specific question, can a workflow be triggered by a tag applied on the Data & Analysis screen. I.E. if I add an "Approved" tag, it will trigger an email to Person 2?

Survey Response PDF download. Any way to disable?

Hello! Thanks for your wisdom in advance!At the end of our survey, we are triggering an email to the completer with their survey responses. I note that a PDF is included that can be downloaded. This is horribly formatted and we would prefer if either this wasn't included (can it be disabled?) or wondered whether there are settings to format the PDF or offer in a different format in the email?Other than that, any other advice or tips on this matter?

Your browser cannot connect to Qualtrics error when trying to add new questions to survey

When I go to add any new question to an existing survey, I am getting the following popup error, and this is preventing me from saving any new work. I have tried on multiple browsers/cleared cache/etc.

How to store emails separately from other collected data

As part of my survey I am asking for interested respondents to participate in a follow-up interview. I am therefore asking for their email so that I can contact them to set up this interview. However, the ethics board does not want these emails stored with the rest of the survey data. They seem to think that this is very easy to do (and I'm sure that it is) but as I am new to Qualtrics I'm struggling to do so. They have suggested a few ways to do it and I was wondering if someone could advise on the easiest way? These are the options that I have so far:Code a response so that the identifying email is not directly stored with the data/ have particular questions in a survey stored in a separate file but linked to the survey (I have no idea how to do this)Use unique survey links in Qualtrics to send potential participants their own survey link (I have figured out how to send out unique survey links, I just want to make sure that I will be able to connect the specific email to the respons

Approval of survey response by third party

Our students are required to fill out a special survey form to get approval for certain classes. I've built the survey form but I also need the responses to be sent out to the faculty member for review. I know I can use an email trigger to send this out. What is critical is that I need a way for the faculty member to approve the survey form and have it track that approval. What I want is a way for the faculty member to click something indicating they approve the contract and that response is linked to the survey form the student filled out so I can see which contracts have been approved and which ones are still waiting for approval. Is this even possible?

Automating Monthly Survey Retakes with Individual Links

I've created a survey that's meant to be completed/updated monthly by respondents. I'd like this to be done as as Retake as New Response and using an individual link. Is it possible to automate this process by creating an email trigger that will send out an individual link every month so respondents can simply click the link and retake the survey (not take the survey from scratch)? How to have one survey reference responses to another?

My situation is that I have one survey which needs to reference another survey when deciding how to fill quotas.Here's what the flow will look like:1) Participants will take a screener, which will assign them a condition based on their demographics as well as which conditions are already filled using quotas.2) The screener will then give them instructions to complete a task outside of Qualtrics.3) Upon completing the task, they will be redirected to another survey (I'll call it the end-survey) containing embedded variables including their demographics and which condition they completed. This is how we intend to track which demographics and conditions are full for the sake of quotas.4) As more participants complete the session, eventually quotas for different conditions will get filled. We need the screener to check only the responses to the end-survey when determining which conditions have been completed, so that incomplete sessions don't count towards the quotas.In short, I want a sur

Email Triggers for Survey Retakes

I've created a survey that respondents will complete monthly (retakes will be saved as a new response each time). Is there a way to set up an email trigger if someone scores high on a specific question in back to back re-takes (e.g., a respondent chooses "dissatisfied" on a question 2 times in a row)? I know this can be done for a single survey, but I'd only need the email to be triggered if they choose that response twice in a row. Thanks!

Survey Score Email Trigger

I've created a survey with a number of Likert scale questions and respondents get a score for that block at the end of the survey (e.g., 30/100). Is there a way to set a condition so that an email is triggered if the TOTAL score of all items is a specific number or greater (e.g., 70 or higher)? I can only seem to be able to find the option for emails to be triggered when individual questions have specific scores. Thanks so much!

We have set condition in email trigger when people clicked joined which session of talk, the details of talk(s) will be send to the registrant via email. But we found that if people clicked joined which session of talk(s), they will receive the email trigger even if the form is not yet submitted. May I know how to set email trigger is only sent to completed response even if the condition is met?

Pulling embedded data from contact directory to use in a calculation--is this possible?

Hi,I want to calculate blood alcohol content (eBAC) in a baseline survey. It requires birth sex, weight, and two alcohol-related items to calculate it.We gather 'birth_sex' and 'weight' as variables in our screener. A workflow adds participants to our directory and saves these two variables as embedded data to be used later.In the baseline survey we need to pull in both weight and birth_sex to then use in a calculation with 2 other items (these embedded data are qf_drinks and qf_hours).So I’m attempting to use the following formula:$e{ ( ( qf_drinks / 2) * ( birth_sex / ( weight ) ) - ( qf_hours * .016 ) }Is there any way to do this? I’m not seeing this specific question anywhere. I appreciate your time and expertise, thank you!

How are people handling the new ability for brand admins to create themes?

Regarding the new ability for brand admins to create themes, how are people communicating this to their brand? I'm coming from a higher ed environment and we are holding off on letting everybody know that we can create themes for them to avoid a potential influx of requests that we can't keep up with. This is a big deal as themes are now unlimited and free! I'm curious what the workflow is like for other brands, or how others are planning on utilizing this feature. Feel free to add any thoughts!

Is there a way for survey languages to be selected based on website language (not browser settings)?

The survey in question is triggered by a CTA (anonymous link) and should be displayed in the webshop language, but currently this is not the case for some reason. I understand that by default, the survey language is set via the browsing language. In this instance, our customer expects the language to be set by the webshop language. I have read the support article on transporting information through query strings but I have been unable to fix the issue. I tried setting embedded data with q-language, but I have been unable to pull the correct information from the webshop it seems. Does anybody know the correct workflow for pulling the webshop language to set the survey language? PS The webshop language is usually set via the browsing language, but apparently not in all cases.

Provide translated response summary as link

We are storing links to a response summary (survey questions & given answeres) in our CRM system. Until now, we are using the old Report.php links like:https://fra1.qualtrics.com/CP/Report.php?SID=[SurveyId]&R=[ResponseId]&ResponseSummary=TrueThere are two issues with those kind of links. QX mentioned to us that those links are not supported anymore. They will not be shut down, however, there is no support in case of any issues. Furthermore, the questions can not be displayed in the language of the customer but they are displayed in the base language of the survey. We have surveys that are used by a whole market/country (like Switzerland). If we would make german for example as base language, this would not help the employees from some Italian speaking part. Instead, if it was translated to the language of the customer, this would fit in most cases. That's why we would like to find some alternative. I oversee a support team. Our satisfaction survey automatically captures the name of the representative that helped the client with the issue. I have a few different people that will review our low CSAT tickets, and they each oversee their own team of representatives. How can I dynamically assign the ticket to the correct person?

Sending Survey Via Link

Hi Community, I intend to distribute my survey via a link that will be attached to my website. However, I had created a workflow that will trigger thank you emails after the survey is completed and I believe the workflow is not working because it is not pulling data from the survey link. Does anyone know a way to fix this or how do you still pull data if the survey is distributed via a link?

Copy Actions When Copying a Survey or at least importing them into new survey?

I tend to find that there are quite a few pros and cons of email triggers vs email actions. I have a fair amount of email actions in my surveys and I have to make copies of those surveys (6) changing the values of embedded data fields from one to another and a few other specific changes within my survey. I could make it one big survey, but it would basically be insanely big with a fair amount of variables within the survey. That being said, I prefer to use actions versus emails primarily because I can copy Actions within a survey and cannot copy triggers within a survey (unless somebody knows a way?) and I can also name them something that makes sense visually. The nice thing is that triggers remain when copying a survey. It would be really nice for me, however, with the large amount of actions there will be in each survey, if those would copy when I copy each survey to edit a bit, then it would save me some time (some will be 40 or so triggers in each survey) Any suggestions?

Error in code task

I'm currently trying to pipe the raw results from a webservice to a code task. The task gets the data correctly, but when I attempt to parse it, the code task workflow returns an error:{ "name": "Something went wrong on our end. Please try again or contact customer support.", "message": "Invalid or unexpected token", "needRetry": true}Now obviously this isn't a helpful message. I don't know which token is invalid because there isn't enough information to understand what is happening. Thoughts?

Working on a fair registration but the results are almost useless because of the use loop and merge

The survey works great for the input information but the results are bad when you want the information to check off the people and the animals. What this person wants in excel is the reg name beside every animal that they are bringing and have the listing by Species and Class. All the Species have questions that were done using loop and merge so they are listed in 4 or 5 columns which we need to be in one column. Survey Metadata: embedding & Google Sheets workflow

Hello allThis seems like a simple question, but I've been having trouble figuring how to export survey metadata to GoogleSheets using workflows. We've been able to utilize the built-in embedded data fields, but unable to access other important fields: Start Date; End Date; Recorded Date; Progress. It seems that using JavaScript to record Launch Date and submit date is suggested. But wondering if there is a way to use metadata that's not in the Built-in fields above. I tried to create an embedded data in Survey Flow (Field/bpj_end) and use this as the source but this field remained blank. Also, tried to use RecordedDate & Progress as if they were built-in fields but also null. (Duration & Referrer work as expected).Having record of how far respondents have made into the survey would be great for us. Any thoughts on getting the start/end/recorded dates and progress would be very much appreciated.

Survey Email Triggers/Notification

HelloWhen a user submits a survey I have it where it sends me a email notification. It does not seem there is any way to really customize/modify the content/format of the email. Want I need the email to have is all the question in the survey even if they are not answered or if any text was entered. Is this possible?
